About The Position

The Optometry Services Supervisor is responsible for the direct supervision of staff members and daily operations of the optometry services. This role involves providing leadership, managing staff performance, ensuring efficient patient flow, overseeing optical services, maintaining compliance with regulations, and handling patient complaints.

Requirements

  • Proficiency in written and verbal communication, basic mathematics, computer applications, and technical systems.
  • Completion of an Associate’s Degree program with a recognized major and a minimum cumulative GPA of 2.5; OR a combination of relevant experience and completion of a high school diploma with a minimum cumulative GPA of 2.5, or General Educational Development (GED) with a minimum overall score of 162.5.
  • Healthcare-related knowledge frequently acquired through completion of a trade school, para-professional, or certificate type program.
  • A minimum of two years of leadership experience OR five years of progressively greater responsibility or significant contributions to projects and initiatives that demonstrate leadership skills.
  • A minimum credit score of 650.
  • Ability to prepare more complex documents in Microsoft Word, including creating tables, charts, graphs, and other elements.
  • Ability to use Microsoft Excel to analyze data, including the use of formulas, functions, lookup tables and other standard spreadsheet elements.
  • Ability to develop sophisticated presentations in Microsoft PowerPoint, including the use of embedded objects, transitions, and other elements.
  • Job duties require the employee to effectively communicate, verbally and in writing, their opinions, and extrapolations of information they collect and synthesize/analyze.
  • Responsible for the resolution of conflicts that may arise between employees, with customers/clients, or with the public, other legal entities, or governmental authorities.
  • Compiles, analyzes, and prepares information in an effective written form, including correspondence, reports, articles, or other documentation.
  • Effectively conveys technical information to non-technical audiences.
  • Regularly required to sit and type.
  • Frequently required to stand or walk.
  • Occasionally squat, kneel, and reach above and below shoulder height to lift and/or move items up to 20 pounds.

Nice To Haves

  • Optometry related experience is highly desired.
  • If an individual has completed a degree at a higher level than required by the role and had a stronger GPA in that program, they may provide proof of GPA from that degree in lieu of the high school diploma or associate’s degree.

Responsibilities

  • Provides supervision to departmental staff, including selecting and building talent.
  • Responsible for performance management of assigned staff, including recognition, performance evaluations, and formal coaching and counseling.
  • Communicates with staff, builds a successful team, and aligns team performance.
  • Provides and/or ensures employees receive necessary instruction/training for job responsibilities and compliance.
  • Manages the work of the assigned team, assigns duties, and provides daily guidance and supervision.
  • Monitors staff performance, department staffing, and resolves issues preventing goal attainment.
  • Ensures employees adhere to company workflows, procedures, and policies, and corrects actions outside of policy.
  • Identifies trend offenses and reports them as necessary.
  • Recommends workflow and procedure changes based on observations.
  • Assists manager in ensuring department expenses stay within budget.
  • Maintains compliance with all employee-related reporting and tracking.
  • Facilitates efficient optometry patient flow by coordinating front and back-office services.
  • Utilizes dashboard and metric tools to ensure efficient patient flow and reduce wait times.
  • Ensures appointment schedules are maximized and spread throughout the shift.
  • Ensures staff follow operational workflows related to appointments, registration, eligibility, vitals, no shows, referrals, and clinical procedures.
  • Ensures important medical tests are appropriately performed on patients.
  • Ensures supplies, forms, and equipment are ordered and in stock.
  • Administers Annual Skills/Competency tests.
  • Prepares and posts staff schedules at least one month in advance.
  • Identifies opportunities and implements strategies for improving customer service, patient throughput, and patient flow.
  • Ensures patient information is collected, verified, updated, and financial options are reviewed and offered.
  • Ensures insurance eligibility verification is completed.
  • Facilitates efficient optical patient flow and sales services.
  • Ensures timely ordering of eyeglasses from the correct lab and proper dispensing to patients.
  • Oversees frame inventory, selection, and ordering.
  • Utilizes EHR and optometry software to track and document activity.
  • Ensures frame boards are properly stocked, displayed, and maintained.
  • Ensures fees are collected from patients and documented for vision supplies.
  • Establishes effective patient recall systems.
  • Conducts inspections of work areas and exam rooms to ensure compliance with OSHA, Joint Commission, and other regulatory guidelines.
  • Handles patient complaints and develops solutions.
  • Collaborates with other department supervisors to resolve patient issues.
  • Adheres to the Attendance and Absenteeism Policy.
  • Ability to present to and work at any FHCN location based on business need.
  • Performs other duties as assigned.
