About The Position

This is a specialized position responsible for assisting clients and program staff in the AIDS Drug Assistance Program (ADAP). This position provides a variety of technical and clerical duties for ADAP under the supervision of the Operations & Management Consultant I-SES. Incumbent will be required to exercise sound judgment in making decisions and obtaining solutions. This position is a sensitive position and is required to maintain information in accordance with state and federal statutes, rules, and regulations, as well as of the Broward County Health Department policies, protocols, and procedures. This position has been delegated custodial authority for the clients' documents and information to ensure they are always located and protected in locked and secured areas, (record room/ scanning areas). Essential functions of this position are as follows: Provide clerical support to Office Supervisors and Managers of the HIV/AIDS (Human Immunodeficiency Virus/Acquired Immunodeficiency Syndrome) section; answer telephones and take messages, schedule and confirm daily appointments, conduct outgoing calls to clients who miss appointments, retrieve and return files to the secured area, data entry and scanning, greet clients and assist them with paperwork when necessary. Serves as front desk receptionist when needed. Complete requests from Public Assistance Specialists to obtain incomplete or missing supporting documentation needed for a complete electronic file. Sends and receives emails, faxes and other correspondence for the purpose of facilitating communication and continued client service within the Broward County Health Department and with outside organizations, as permitted by state, local and federal regulations. Performs other duties as assigned.

Requirements

  • Willing to work before, during, and/or beyond normal work hours or days in the event of an emergency. This may include working in a special needs or Red Cross shelter, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
  • This is a full-time in-office position. Willing to physically come in the office to perform the duties and responsibilities of the position.
  • This position requires current authorization to work in the United States without employer sponsorship. The Department of Health is unable to provide employment visa sponsorship.
  • Valid driver's license, free of major infractions and access to an automobile to be utilized for work purposes and receive reimbursement for mileage.
  • Work experience interacting with customers in person or via telephone.
  • Work experience conducting data entry.
  • Availability to work Mondays 11am-8pm.
  • Knowledge of general office procedures and practices.
  • Knowledge of correct grammar usage.
  • Ability to prepare reports and correspondence.
  • Ability to plan, organize and coordinate work activities.
  • Ability to follow instructions.
  • Ability to review data for accuracy and completeness.
  • Ability to perform basic arithmetical calculations.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • All gaps of employment or education greater than 90 days starting from high school must be explained (approximate date, month, and year) identifying company name or if unemployed.
  • Must be able to learn and communicate effectively, orally and in writing, in English.

Nice To Haves
