About The Position

As an Operations Support Specialist, you’ll play an important role in keeping day-to-day operations running smoothly while delivering an exceptional experience for our clients. You’ll support account reviews, documentation, funding activities, risk management, and client service while working closely with clients, debtors, and internal teams. This is a great opportunity for someone who is detail-oriented, organized, and enjoys balancing customer service with operational responsibilities. No two days are exactly alike. You’ll spend your day working with clients and internal teams to review accounts, verify documentation, support funding activities, and resolve questions or issues along the way. You’ll use your attention to detail and problem-solving skills to help ensure information is accurate, processes are followed, and clients receive responsive, professional service. You’ll also be part of a collaborative team where communication and supporting one another are key to getting the job done well.

Requirements

  • At least one year of customer service experience in a fast-paced business environment preferred.
  • Strong customer service skills and the ability to build positive relationships.
  • Comfortable using Microsoft Office and Google Workspace.
  • Highly organized with strong time management and multitasking skills.
  • Strong attention to detail and a commitment to accuracy.
  • Able to manage multiple priorities and meet deadlines without sacrificing quality.
  • Clear and professional verbal, written, and interpersonal communication skills.
  • Strong problem-solving skills and professional telephone etiquette.
  • Able to follow instructions, work independently, and contribute effectively as part of a team.
  • Comfortable handling confidential and sensitive information with discretion.

Nice To Haves

  • Associate’s or bachelor’s degree preferred; four years of proven customer service experience may be considered in place of a degree.
  • Experience in factoring, freight, transportation, logistics, financial services, or a related industry is a plus.

Responsibilities

  • Provide outstanding customer service to clients and internal partners through phone, email, and written communication.
  • Review and verify new client aging to support account purchases and risk management processes.
  • Review load documentation to ensure required information is complete, accurate, and properly maintained.
  • Communicate with clients to obtain missing or incomplete documentation.
  • Review open credits on client accounts and take appropriate action when needed.
  • Reconcile and review funds for release on inactive client accounts.
  • Partner with clients, debtors, teammates, and leadership to resolve questions and keep processes moving.
  • Help maintain strong risk management and operational practices across client accounts.
  • Protect confidential client and company information and handle sensitive information appropriately.
  • Support a collaborative, customer-focused team environment.
  • Take on additional responsibilities and projects as needed.
