Our back-office team is looking for a seasoned Operations Support Specialist to join the Operations department. Reporting to the Senior Manager, Operational Effectiveness, you will be an integral part of our daily core operations, ensuring the engine of our business runs smoothly and accurately. We are looking for a business-savvy individual who can leverage their quantitative, operational, and strategic thinking skills to optimize our existing workflows. Requirements

  • Google Apps Expert: Advanced proficiency in the Google Workspace suite (Sheets, Docs, Slides, Drive), with the ability to leverage these tools for data organization and team collaboration.
  • Systems Agility: Proven ability to quickly learn and master multiple internal proprietary programs and CSM systems to manage complex workflows.
  • Automation Mindset: A strong passion for automation and efficiency; you don't just follow a process—you look for ways to use technology to eliminate manual bottlenecks.
  • Data Literacy: Strong quantitative skills with the ability to maintain daily reports and analyze productivity metrics to ensure operational health.
  • SLA Discipline: A track record of working within strict Service Level Agreements (SLAs), maintaining high quality and accuracy under tight deadlines.
  • Regulatory & Compliance Savvy: Experience working within regulated environments, with an understanding of how to document and process requests to meet legal and internal standards.
  • Administrative Precision: Exceptional attention to detail, specifically in document processing (whitemail), account reconciliation, and manual loan adjustments.
  • Cross-Functional Collaboration: Ability to partner effectively with a multitude of departments (Accounting, Legal, Compliance) to ensure seamless service delivery.
  • Adaptive Agility: The ability to pivot quickly between repetitive daily functions and high-priority ad-hoc assignments in a fast-paced environment.
  • Communication: Strong written and verbal communication skills, capable of relaying complex operational information clearly to various stakeholders.
  • Proactive Ownership: A self-starter who works well independently and takes full accountability for the accuracy and timeliness of their output.
  • Ability to work from the North York office 3 days per week.

Responsibilities

  • Document Processing: Manage and process incoming physical "whitemail," ensuring all documentation is accurately digitized and logged within our CSM system.
  • Financial Operations: Support the back-office team with essential daily functions, including payment processing and account reconciliation.
  • SLA Management: Execute manual adjustments and process loan products for customer accounts while strictly adhering to specified SLAs.
  • Regulatory Compliance: Work cross-departmentally to ensure all regulatory requests and internal compliance standards are met with precision.
  • Cross-Functional Collaboration: Partner with a diverse range of departments to ensure seamless operational workflows and integrated service delivery.
  • Reporting: Maintain and analyze daily reports and productivity metrics to track and improve operational health.
  • Process Innovation: Bring a passion for automation and efficiency; we want someone who looks for ways to eliminate manual bottlenecks and streamline established processes.
  • Agility: Take initiative to juggle regular day-to-day tasks alongside ad-hoc assignments in a high-energy, fast-paced environment.
