About The Position

TruTeam is seeking an energetic Operational Support & Scheduler professional to manage a busy branch office. The ideal candidate is reliable, well-organized, and can handle day-to-day operations with a focus on efficiency and time management. This role involves scheduling jobs, acting as a liaison between customers and production, and managing various administrative tasks including purchasing, accounting, credit/collections, IT, and overall administrative requirements. Additionally, the position is responsible for Human Resources administration and employee relations programs.

Requirements

  • Minimum of 18 years of age.
  • If operating a Company Vehicle, a valid driver’s license will be required.
  • Minimum Degree: High School Diploma or GED.
  • 1-3 years minimum experience.

Responsibilities

  • Maintain and update database systems using a computer.
  • Manage, review and coordinate schedule for one or more locations.
  • Communicate daily with key stakeholders (Administrative Specialist, Sales Staff, and Production Staff).
  • Communicate daily with customers to schedule jobs, confirm jobs, and inform of any schedule changes or cancellations.
  • Manage records and information.
  • Perform accounting and/or financial analysis.
  • Monitor credit and collections activities.
  • Manage daily conversion of quotes to work orders.
  • Review and approve vendor invoices.
  • Provide HR administrative assistance to management teams.
  • Encourage and improve cross-department internal communication.
  • Perform general office tasks (replenish office supplies, distribute mail, custodial duties, etc.).
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
  • Compute, record, and proofread data and other information, such as records or reports.
  • Review work orders, files, records, and other documents to obtain information to respond to requests.
  • Any other duty, task, or responsibilities as assigned.
