The Lifecycle and Relocations Coordinator owns what happens to an instrument at the beginning and end of its life at an assigned Johnson & Johnson site, and every time it moves in between. Onboarding a new asset, offboarding one that is leaving, donations and transfers, laboratory moves, and the change management intake that sits behind all of it. This is a distinct job from work order coordination. A Lab Liaison Coordinator owns the service transaction on an instrument that is already in the estate and already in the system. This role owns the estate changing shape. When an instrument arrives, leaves, moves building, changes owner or changes status, this seat makes sure the physical reality and the system record end up matching.

Requirements

4+ years of experience in asset management, laboratory operations, equipment coordination, logistics or a comparable coordination role.
Demonstrated experience owning a data record set and being accountable for its accuracy.
Experience coordinating physical equipment moves, installations or decommissioning in a regulated or laboratory environment.
Experience with a computerized maintenance management system (CMMS) or asset register, including creating and maintaining records.
Working knowledge of GxP requirements, decontamination practice and laboratory documentation standards.
Ability to work with laboratory staff, vendors and engineers and hold a plan together across all three.
Data Discipline - treats the record as the deliverable, not a byproduct of the task.
Follow-through - closes the loop on a move or an onboarding rather than leaving it partially done.
Coordination - holds a plan together across laboratory staff, vendors and engineers who do not report to them.
Attention to Detail - notices the serial number that does not match before it becomes a two-year data problem.

Communication - keeps the requesting laboratory informed without being chased.

Nice To Haves

Experience in a pharmaceutical, biotechnology or research environment strongly preferred.
Associate or Bachelor’s degree preferred. Equivalent experience considered.
Training in laboratory safety, GxP, decontamination and data integrity provided or required.
CMMS and platform training provided after hire.

Responsibilities

Receive new instruments arriving at the site, verify against the purchase record, and confirm what physically arrived matches what was ordered.
Create the asset record in the system of record with complete and correct data: identifier, location, building and room, make, model, serial number, ownership, service category, criticality and GxP status.
Establish the scheduled maintenance plan and service coverage position for the new asset at intake, not after the first failure.
Coordinate installation, qualification and handover with the Life Science Engineers, the vendor and the receiving laboratory.
Confirm the asset is fully handed over to routine service coordination before closing the onboarding.
Coordinate decommissioning of instruments leaving service, including decontamination sign-off, disconnection and removal.
Close out service coverage, open contracts and scheduled maintenance plans on assets being retired so the program stops paying for them.
Update the system of record to reflect retirement, transfer or disposal, with the date and reason captured.
Coordinate asset donations and inter-site transfers, including documentation and chain of custody.
Reconcile the disposal record so retired assets do not persist in reporting or in entitlement.
Coordinate non-project-scale laboratory moves and instrument relocations within the site.
Plan move sequencing with laboratory staff so scientific work is not stopped longer than necessary.
Coordinate movers, riggers, vendors and internal engineers, and escort them throughout.
Arrange requalification, recalibration or performance verification after a move where the platform requires it.
Update location and status records on completion, on the day, not in a backlog.
Own asset change request intake for the site, including new requests, modifications, moves and retirements.
Triage requests, confirm completeness, and route them to the right function rather than letting them sit.
Track requests through to closure and report status to the Site Operations Manager and the requesting laboratory.
Identify requests that indicate scope growth or new service need and surface them.
Own accuracy of the site asset register for everything within lifecycle scope.
Run periodic physical reconciliation of the asset base against the system of record and close the gaps found.
Investigate and correct duplicate, orphaned, mislocated and stale asset records.
Apply the record standards set by the Manager, Master Data and Systems consistently, and raise cases the standard does not cover.
Provide asset data for audits, entitlement reviews, budget cycles and contractual reporting.
Confirm decontamination sign-off and hazard status before any instrument is moved, lifted or removed.
Follow laboratory safety requirements including biological, chemical, electrical and cryogenic hazards.
Confirm movers and riggers are briefed on the hazard, the route and the handling requirement before work starts.
Exercise stop-work authority when a move or removal cannot be performed safely.
Escort and host OEM and third-party personnel in client laboratories and equipment areas, on request and regardless of whose scope the instrument sits in.
Confirm third-party personnel are inducted, badged, trained, and compliant with client site access and safety requirements before they enter a laboratory.
Remain with third-party personnel while they work where the area, the hazard, or the client requires continuous accompaniment.
Confirm the work performed matches what was authorised, and that the area is left clean, safe, and operational.
Verify the service report or work record is complete before the third party leaves site, and route it for invoice verification.
Escalate immediately where a third party arrives unannounced, without correct documentation, or attempts work outside the authorised scope.
Abide by and follow Renovo safety policies, procedures, and injury and illness prevention expectations.
Maintain a safe working environment for self and others when visiting customer sites, laboratories, offices, or operational environments.
Follow applicable customer site safety requirements, OSHA guidelines, and laboratory or facility-specific procedures as required.
Complete required safety training assignments on time.
