About The Position

The Operations Specialist will be a versatile position providing support across several Operational areas. The incumbent will be responsible for inventory control and management of all internal inventory items from across all departments as well as manage all invoicing. This position will provide onsite EH&S support for the site, provide backup for receiving, and other operational support as needed.

Requirements

  • High School Diploma/GED required.
  • 3- 5 years’ experience in an operational or lab support position required.
  • Familiarity with the industrial R&D or academic research laboratory environment required.
  • Must be DOT Haz Mat Trained
  • Familiar with inventory routines (receiving, stocking, and/or cycle counting).
  • Understands lab operations as well as common biological research goods and commodities.
  • Strong computer skills with demonstrated proficiency in MS Office and data entry
  • Experience in using an Enterprise Resource Planning (ERP) software required
  • Must have excellent attention to detail.
  • Must be able to think critically, have excellent communication skills and the ability to multitask across several areas.
  • Ability to work in a fast-paced environment and adapt to changes quickly
  • Ability to identify areas for improvement and make constructive suggestions for change.
  • Must be able to speak, understand, read, and write English proficiently.

Responsibilities

  • Oversee HDB main inventory. Counting and stocking inventory items, review inventory-tracking sheet and ensure that appropriate quantities of restocking materials are requested and ordered.
  • Manages employee requests for inventory items, submitting orders for inventory items.
  • Works with manager and Procurement Specialist to evaluate which items are in high demand by research teams and add them in to the common inventory.
  • Receives and verifies all invoices as ready for payment; communicates with Finance Department on closing out invoices.
  • Partners with the EH&S manager, ensure various equipment is inspected and permits issued to remain in compliance (compressed air, elevator, hydrogen system).
  • Schedules and conducts all onsite safety inspections, log them into our online EHS software platform, and brings any findings to the EHS manager.
  • Approves and collaborates on Injury Investigations, ensuring CAPA’s are followed up in Gensuite.
  • Manages permits, reporting and compliance with industrial discharge requirements.
  • Waste management: coordinates pick ups with vendor, oversees on-site technicians, prepares and reviews waste manifests and shipping papers for regulatory accuracy.
  • Conducts drills and maintains compliance documentation for the Emergency Action Plan.
  • Oversees inspection, testing, maintenance, and documentation to ensure all emergency response/life safety equipment remains accessible, functional, and compliant with OSHA, NFPA, and local code requirements.
  • Provides backup assistance for receiving, as needed.
