About The Position

The Operations Specialist will be responsible for coordinating job setup, invoicing, and job costing processes. This role ensures accurate tax coding is applied to all jobs and related activities, and involves preparing, updating, and managing material and purchase orders. The specialist will maintain accurate invoice coding, assist with approval workflows, and provide administrative support through reporting, contract review, and proposal preparation. This position offers cross-functional support across multiple company entities, handles inbound calls from current and prospective customers, and manages physical documentation, including creating and organizing job folders. Additional duties include supporting various administrative functions and internal processes, contributing to special projects, and performing other duties as directed by the Construction Manager.

Requirements

  • Working knowledge of construction processes
  • Strong technology and computer skills
  • Working knowledge of ERP systems and computer networks
  • Organizational abilities to track multiple deadlines and reporting requirements

  • Makes regular suggestions for safety process improvements to support continuous improvement in safety.

Nice To Haves

  • BS or AAS degree in Business Administration, Accounting, Finance, or a related field from an accredited college is desired, but years of pertinent experience will also be considered.
  • Experience with construction ERP systems, including Vista, is a plus.
