About The Position

The facilities Operations Project Manager (OPM) is a hands-on, results-oriented leader responsible for driving the successful execution of critical agency infrastructure projects. Reporting directly to the Director of Operations, you will serve as the primary leader for the organization’s upcoming administrative office relocation and the ongoing modernization of our childcare facilities and playgrounds across San Francisco. This role requires a unique blend of logistical precision, vendor management expertise, and collaborative diplomacy. You will ensure that our physical environments are safe, compliant, and optimized to support our mission of serving children and families, all while keeping projects on time and within budget.

Requirements

  • 5+ years of experience in project management, facilities management, or operations.
  • Proven track record of managing physical office moves and/or construction and renovation projects is essential.
  • Bachelor’s Degree in Business, Project Management, Construction Management, or a related field or equivalent working experience.
  • Masterful ability to manage external contractors and vendors, including the ability to read technical drawings, interpret contracts, and hold partners accountable to timelines.
  • Skilled in project management software (e.g., Asana, MS Project, or Smartsheet) and proficient in budget tracking and reporting using Excel.
  • Demonstrated ability to manage complex "moving parts" in an urban environment like San Francisco, including navigating local permitting and logistics.
  • Exceptional interpersonal skills to build partnerships across the organization, ensuring staff feel informed and supported during transitions.
  • Exceptional skill in translating high-level project goals into actionable, compliant, and efficient daily plans.
  • The agility to respond to unexpected site delays or shifting timelines with grounded, decisive action.
  • A meticulous approach to project specs, ensuring that every playground bolt and office outlet meets the required standard.
  • The ability to influence and lead "without authority," working effectively with internal teams and external partners to get the job done.
  • Must be able to effectively exchange information and negotiate with vendors and diverse internal stakeholders.
  • Must be able to move through active construction or renovation sites.
  • Must occasionally move or transport items (e.g., boxes or equipment) weighing up to 50 pounds.
  • Must be able to perceive and analyze data in various formats and observe environment safety and project quality at field sites.
  • Must be able to function effectively in environments ranging from a professional office to active childcare centers and outdoor construction zones.
  • Regularly required to identify, analyze, and solve complex logistical and financial problems under tight deadlines.

Responsibilities

  • Lead the end-to-end execution of the agency-wide administrative office move scheduled for Fall 2026, including space planning, IT coordination, logistics, and staff transition communication.
  • Manage the continuation of multi-site facility upgrades, ensuring playground renovations and building improvements meet all safety standards and programmatic needs.
  • Act as the primary point of contact for external vendors, architects, and contractors; manage the bidding process, negotiate contracts, and ensure high-quality delivery of services.
  • Partner with Program Directors, IT, and HR to ensure facilities projects integrate seamlessly with daily operations and minimize disruption to early learning and community engagement services.
  • Track project expenditures against budgets and maintain detailed schedules, providing regular status updates and risk assessments to the CFO.
  • Ensure all facility upgrades and move-related activities adhere to San Francisco building codes, Title 22 licensing requirements, and ADA standards.
