About The Position

The Operations Processing Associate plays a key role in supporting new business cases by making outbound calls to external transfer companies to obtain the status of funds. This position requires accurate documentation, clear and professional communication, and the ability to work independently while consistently meeting daily productivity and quality expectations. The role involves navigating multiple systems, following established procedures, and contributing to process improvement within a fast-paced operations environment.

Requirements

  • High school diploma or equivalent.
  • Prior work experience in an operations, processing, or similar role preferred.
  • Experience with processing activities, including handling and tracking cases or transactions.
  • Strong attention to detail with the ability to accurately review and document information.
  • Ability to work independently, stay focused, and meet daily productivity and quality metrics.
  • Comfort and proficiency working across multiple systems and documentation platforms.
  • Experience with document review and documentation research.
  • Ability to follow established procedures and use job aids effectively.
  • Strong verbal communication skills for making outbound calls and clearly conveying next steps.
  • Ability to operate effectively in a fast-paced environment.

Nice To Haves

  • Experience with process improvement activities or contributing ideas to enhance workflows.
  • Familiarity with documentation systems and tools used to record call outcomes and case status.
  • Background in insurance operations or agency services is beneficial.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.

Responsibilities

  • Make outbound status calls to carriers and transfer companies to obtain updates on the status of funds for new business cases.
  • Clearly communicate next steps and required actions to external transfer companies during status calls.
  • Document call outcomes accurately, thoroughly, and efficiently in the required documentation systems.
  • Navigate multiple systems and tools to research, review, and update case information while following established procedures and job aids.
  • Review documentation and follow up on outstanding information, requesting missing items as needed to move cases forward.
  • Conduct documentation research to ensure information is complete, accurate, and aligned with internal standards.
  • Proactively communicate issues, trends, and potential process improvement opportunities to management and appropriate stakeholders.
  • Participate actively in team problem-solving discussions and process improvement initiatives.
  • Engage in cross-training activities to support broader team coverage and operational flexibility.
  • Adapt to workflow changes, shifting priorities, and evolving procedures while maintaining steady productivity.
  • Manage time effectively to meet daily metrics and quality expectations in a fast-paced environment.
