About The Position

This is intermediate-level managerial, administrative, and consultative work relating to the Division of Vocational Rehabilitations facilities management. Moderate decision-making is required under limited supervision. This position supervises the daily operations of the Facilities Section. This work involves identifying potential problems and resolving operational and managerial issues in coordination with the Division Senior Leadership, the Area Leadership Teams and administrative staff to resolve issues and problems. The position provides information, consultation, and technical assistance to all levels of VR staff concerning facilities administrative policies, rules, and regulations. Recommends revisions to policies and procedures to achieve goals and objectives or resolve operational problems. The position monitors, analyzes, plans, provides technical assistance and training. Recommends resolution of problems concerning facilities management and administrative issues. Monitors facilities management related administrative activities to ensure compliance with policies, rules, and regulations, and investigates, assesses and analyzes job-related problems. Confidentiality is a requirement for the position. ADA Certification is a requirement for this position. This position spends the majority of their time communicating with, motivating, training, and evaluating employees, and planning and directing employees’ work, and has the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action, including all employees serving as supervisors, administrators, and directors in accordance with Section 110.205(2)(w), Florida Statutes. This position communicates with and motivates staff, and provides and/or coordinates training, and directs the work of subordinates. In addition, the employee must complete timely performance appraisals, develop timely and accurate work plans, and timely approve monthly timesheets, and attendance and leave requests for each position under direct report. The position has authority to make hiring recommendations, as well as disciplinary recommendations.

Responsibilities

  • Communicating with, motivating, providing or coordinating training, and directing the work of subordinates
  • Completing timely performance appraisals, developing timely and accurate work plans, and timely approving monthly attendance and leave for each subordinate position
  • Approving timesheets in the People First system by the 5th business day of the following month
  • Coordinating leasing of office space for the Division’s field offices
  • Coordinating facilities management and general administrative activities
  • General office maintenance/housekeeping
  • Ensuring that ADA accessibility guidelines are met in the development of new space
  • Completing ADA assessments and corrective action plans as required
  • Serving as a member of the Division’s Emergency Preparedness and Response team.
  • Managing the Division’s staff information in the Everbridge system
  • Coordinating and preparing offices for closure
  • Notifying employees of office closures
  • Coordinating remediation of office damage
  • Restoration of operations
  • Monitoring post-event issues
  • Serving as the lead Safety Officer for the field offices concerning:
  • Employee safety
  • Reviewing, assessing, and completing corrective actions regarding safety issues
  • Serving as the liaison with the Division/Department's Purchasing Office
  • Monitors the seven VR Areas’ field offices operating spending plans
  • Coordinates facilities related purchasing
  • Analyzes encumbrances, and makes recommendations regarding expenditures
  • Ensures that expenditures are made from the appropriate purchasing categories
  • Tracks and reports each field offices’ facilities-related expenses to the Budget Section
  • Monitors facilities related purchasing activities using My Florida Marketplace (MFMP)
  • Troubleshoots MFMP reports, expenditures, and vendor payments in MFMP
  • Coordinates purchasing insurance for equipment and state property
  • Coordinates purchasing or leasing new office equipment
  • Coordinating property control, and surplus property in coordination with the appropriate entities
  • Performing related work as required
