About The Position

The Operations Manager is responsible for supervising daily operations at West Place Animal Sanctuary, primarily managing all tasks associated with the volunteer program, feed/supply/medical ordering, inventories and organization, providing support to the animal care manager, and community outreach. The Operations Manager plays a key role in ensuring that the organization’s standards of excellence are met. This is a full-time position that requires weekends and holidays if they fall on scheduled workdays. The organization is open 365 days a year and requires a reliable candidate who can commit to consistent attendance. This role involves managing emergent calls and emails, potentially taking the work phone home, and assisting the public in a timely manner. Attention to detail and strong communication skills are paramount.

Requirements

  • Experience is required.
  • Operations Management: more than 5 years (Required).
  • Administration: required.
  • Must be able to be around/handle large animals when necessary.
  • Ability to stand for long periods of time (tours, inventories).
  • Ability to lift up to 30 lbs., more a plus.
  • Reliably commute or planning to relocate to Tiverton, RI 02878 before starting work (Required).
  • Must be willing to talk on the phone.
  • Must be reliable and show up for work every day.
  • Must be able to manage in-person requests and phone/emails.
  • Commitment to a team approach of working with staff members, volunteers and guests.
  • Strong listening, speaking and writing skills.

Nice To Haves

  • Public Relations: experience preferred.
  • Farm Animal Care: 1 year or more preferred or willingness to learn.
  • Repair experience preferred so you understand how to manage handy people.
  • Landscape experience preferred so you can understand how to manage greenthumbs.

Responsibilities

  • Maintain and grow volunteer base through outreach to individuals, community-based organizations and groups, colleges/universities, and corporations.
  • Review applications, check references, interview potential volunteers/interns, assess interests/skills, and match with appropriate activities.
  • Onboard all new volunteers/interns, collecting correct documentation.
  • Identify training opportunities for volunteers and staff; assign and track completion of assigned volunteer training.
  • Maintain weekly volunteer/intern scheduling and communicate with volunteers/interns to assure attendance.
  • Maintain volunteer/intern database and provide accurate and timely data.
  • Engage with existing volunteers/interns daily, providing feedback and guidance.
  • Maintain volunteer/intern recognition program and plan/execute volunteer/intern appreciation and training activities.
  • Identify high profile volunteers and connect them with appropriate stakeholders.
  • Recruit high school, college, and graduate level interns.
  • Manage orientation process for new interns.
  • Provide ongoing feedback to interns and complete school evaluations.
  • Update training information for interns as necessary and communicate trainings, fun facts, or educational questions.
  • Act as animal care manager when needed (training provided), overseeing volunteers performing feeding, cleaning, and maintenance.
  • Oversee cleaning, maintenance, and proper storage of sanctuary equipment.
  • Assist with the check-in of new animals and inspection.
  • Oversee cleanliness, maintenance, and daily care of kennel, office, and gift shop building.
  • Perform daily health checks on all animals and provide supplements, medications, injections.
  • Inform Animal Care Manager of any health issues with the animals.
  • Learn and understand the roles of Greenthumbs and Handypeople to maintain and delegate tasks.
  • Assist in overseeing that all buildings are maintained, cleaned, and repaired as necessary.
  • Monitor electric, heat, and AC usage in all buildings and be responsible for conserving.
  • Manage the day-to-day working and cleanliness of the property.
  • Responsible for all inventories, staying stocked on all supplies, food, medicine, tools, etc.
  • Respond correctly and promptly to emails.
  • Manage the main phone number and voicemails with knowledge and professionalism.
  • Assist the public in answering incoming questions.
  • Update SOP’s, manuals, training tools, and resources related to volunteers, animal care, and operations.
  • Assist other employees, visitors, donors, and volunteers in a cheerful and respectful manner.
  • Prepare current and necessary updates to the Operations Training Manual and the Animal Care Training Manual.
  • Maintain databases, including feed, medical supplies, inventory, and volunteers.
  • Maintain monthly calendar for shots, deworming, hoof care, etc.
  • Assist Director level staff with administrative tasks as needed.
  • Act as a Tour Guide for visitor weekends and private tours.
  • Book private tours, give tours, and understand the gift shop systems.
  • Book group volunteering, plan projects, and manage groups.
  • Book small weddings on property.
  • Assist in content for building the Virtual Tour platform.
  • Book Corporate Retreats.
  • Gather social media content for Communications Director.
