About The Position

Orange County Hillel is seeking a highly organized, proactive, and collaborative Part-Time Operations Manager to help ensure the smooth day-to-day functioning of our organization and Hillel house. This is a hands-on role for someone who enjoys creating order, solving problems, managing details, and making things happen. The Operations Manager will oversee essential administrative, facilities, financial, technology, and event logistics while working closely with the Executive Director, staff, student leaders, vendors, donors, and community partners. From ensuring the Hillel house is welcoming and well-stocked to coordinating major events and strengthening organizational systems, this position plays an important role in creating an environment where students, staff, and the broader community can thrive. The ideal candidate is someone who takes initiative, follows through, communicates well, stays calm when priorities shift, and takes pride in doing the behind-the-scenes work that allows a mission-driven organization to operate at its best.

Nice To Haves

  • Experience with Ramp, 1Password, QuickBooks, or similar platforms is a plus.
  • Experience in nonprofit operations, office administration, event coordination, facilities, financial administration, fundraising support, or a related field is preferred.

Responsibilities

  • Oversee the daily operations of the Hillel house, ensuring that spaces are clean, organized, welcoming, secure, and ready for use.
  • Coordinate logistics for meetings, rentals, programs, and events, including weekly Shabbat and holiday dinners, and other large-scale gatherings.
  • Manage event setup, breakdown, and cleanup, coordinating supplies, equipment, food, room arrangements, and other logistics.
  • Maintain inventory of office, program, food, and event supplies and ensure materials are ordered and available when needed.
  • Coordinate building maintenance, repairs, equipment, security, and relationships with vendors and service providers.
  • Manage room reservations, calendars, appointments, and other scheduling needs.
  • Help establish and maintain organized systems for shared spaces, including offices and student areas.
  • Provide day-to-day administrative and operational support to the Executive Director and staff.
  • Support organizational financial administration, including invoice processing, support documentation, and management of Ramp platform.
  • Work closely with the Accountant to ensure timely processing of invoices, payments, expenses, and other financial needs.
  • Maintain accurate digital and physical files, records, service agreements, vendor documentation, and other organizational materials.
  • Help manage donor and institutional funder relationships by supporting communications, documentation, reporting.
  • Respond to general inquiries and help ensure that students, families, donors, vendors, and community members receive a warm and professional welcome.
  • Become proficient in Hillel’s organizational systems, including Heart, Ramp, and Little Green Light (LGL).
  • Use Google Workspace, Microsoft Office, Adobe, and other platforms to manage documents, databases, communications, and organizational records.
  • Help evaluate and improve administrative systems, processes, and workflows to increase organizational efficiency.
  • Maintain a high level of accuracy and organization across both digital and physical systems.
  • Provide reliable operational support to staff members, student leaders, and interns.
  • Coordinate the Israel Fellow’s housing, vehicle, phone, and other logistical needs.
  • Partner with staff and students on special projects and organizational initiatives.
  • Work closely with the Executive Director to strengthen internal systems and ensure consistent, effective operations.
  • Take initiative to identify needs, solve problems, and improve the way Hillel operates.
