About The Position

The Ohio State Medical Association (OSMA) is seeking an Operations & Events Coordinator to join a small, collaborative team dedicated to supporting physicians across Ohio. This role combines office operations, event coordination, administrative support, and member service while providing the opportunity to work closely with physician leaders, specialty societies, and colleagues across the organization. This is a remote-first position with regular access to the Columbus office as needed. Occasional travel, evening meetings, and weekend event support may be required.

Requirements

• Bachelor's degree or an equivalent combination of education and experience preferred.
• Five to seven years of experience in administration, office management, operations, executive support, event coordination, nonprofit organizations, healthcare, associations, or a related field.
• Strong organizational, project management, and communication skills, with the ability to manage multiple priorities, adapt to changing needs, and follow through on commitments.
• Experience coordinating meetings, events, logistics, vendors, and stakeholder communications.
• Strong customer service skills and the ability to build effective working relationships with executives, board members, physicians, members, vendors, and other stakeholders.
• Strong attention to detail, sound judgment, and the ability to work independently while contributing to a collaborative team environment.
• Proficiency with Microsoft Office and virtual meeting platforms such as Teams or Zoom.

Nice To Haves

• Experience using membership databases, contact management systems, registration platforms, financial systems, or similar business software is preferred.
• Experience supporting executives, boards, committees, member organizations, or volunteer leadership groups is a plus.

Responsibilities

• Support the planning and execution of meetings, educational programs, specialty society meetings, annual meetings, and special events.
• Coordinate registrations, communications, materials, technology needs, logistics, and onsite event support.
• Provide administrative and operational support to the CEO, Executive Office, boards, committees, physician leaders, and staff teams.
• Help manage office operations, vendor relationships, supplies, equipment, contracts, and operational workflows.
• Serve as a resource for OSMA members, physician practices, vendors, and stakeholders by answering questions and coordinating follow-up.
• Support specialty society activities, member programs, recognition initiatives, reporting processes, and membership-related services.
• Coordinate with OSMA's outsourced IT provider and assist with technology-related projects and support needs.
• Collaborate across the organization to support meetings, programs, member services, and operational priorities.
