About The Position

We’re hiring an Operations Director to be the right hand to firm leadership on the day-to-day mechanics of running the firm. This is a hands-on role focused on execution: making sure projects move, efficiencies are created, and the firm runs cleanly week to week across both our New York City and Long Island offices. Given our growth trajectory, this role will be both exciting and challenging – as the nature of what you’re working on each day will change rapidly and you’ll be expected to manage across several priorities simultaneously and successfully. You will be the person who makes sure the firm actually runs well, surfaces issues early, and follows through on the fixes. If you like solving operational puzzles, owning outcomes, and being the person leadership relies on to make things happen, this role is built for you.

Requirements

  • 7+ years of operations experience in professional services—accounting, law, consulting, or similar.
  • Experience with change management in team settings.
  • Strong track record of managing several projects successfully at the same time – while balancing different stakeholders’ needs.
  • Experience managing a team across multiple locations.
  • Strong communicator who follows through. People rely on you because you don’t drop things.
  • Comfortable working with senior people and pushing back when needed.
  • Curious about and quick-to-learn new technologies.
  • Not looking for a strategy seat. Looking to own the operating engine of a firm and have real impact.

Responsibilities

  • Own the firm’s operating cadence: SOP documentation, standing meetings, project tracking, and follow-through on action items.
  • Assess existing processes, workflows, and systems (both internal and client-facing), identify and recommend improvement opportunities, and implement the relevant changes.
  • Manage platform-level technology, new rollouts, and system changes at the firm. Ensure the team is trained and disruptions are minimized.
  • Be the go-to person for the partners on anything operational. If it’s not anyone’s clear job, you pick it up.
  • Manage, lead, and develop the on-site administration team across both offices. Set expectations, run check-ins, and ensure consistent support at each location.
  • Identify and execute on improvements in time entry, WIP, and billing workflows.
  • Drive the practical adoption of AI tools across the firm's workflows. Move tools from pilot to daily use, not just rollout to inbox.
  • Identify where AI can remove manual effort in core processes (time entry, WIP, billing, document handling, client communications) and own the implementation, training, and measurement of what actually sticks.
  • Partner with the Windsor Path platform team on firm-wide AI initiatives, then translate them into changes the WFFA team can run with.
  • Track adoption and surface what's working and what isn't, so the firm compounds gains rather than collecting unused licenses.
  • Serve as the primary day-to-day contact between WFFA and the Windsor Path platform team.
  • Coordinate on shared services—technology, HR support, recruiting, marketing, and vendor management. Know what’s handled centrally vs. locally and make sure nothing falls between the two.
  • Advocate for WFFA’s operational needs and participate in platform meetings and initiatives.
