About The Position

Friends of the Children – San Diego is seeking a passionate and committed leader to establish and grow its new San Diego location. This role supports human resources, finance, information technology, social media & marketing, and other enabling functions to ensure operations are established and running optimally. The ideal candidate will possess strong business acumen, an entrepreneurial spirit, and a dedication to children. They should be skilled in implementing efficient processes and developing collaborative relationships built on trust, empathy, and healthy communication. The role requires a fierce commitment to putting children first and ensuring the organization's mission is executed with full community engagement.

Requirements

  • Bachelor’s Degree preferred.
  • A minimum of five years of operations experience.
  • Proficiency in Microsoft Word, Excel, and Outlook; familiarity with databases and office functions.
  • Exceptional customer service and interpersonal communication skills, and experience working with various constituencies.
  • Excellent written communication skills and attention to detail.
  • Highly organized and dependable; ability to work independently and maintain composure under pressure.
  • Ability to prioritize work and adapt to shifting demands and work situations, meet deadlines; maintain regular communication with supervisor regarding work plans, and proactively seek guidance regarding priorities and timelines.
  • Ability to maintain confidentiality, use good judgment, and follow procedures.
  • Ability to travel locally and adapt schedule to meet the organization’s needs (i.e., some evenings and an occasional weekend).

Responsibilities

  • Develop and implement HR processes and procedures, including recruitment and job postings.
  • Manage employee benefits enrollment, renewal, and answer employee questions about policies.
  • Oversee new employee onboarding and conduct necessary background checks.
  • Review and process expense reports, payroll, and prepare financial documents for the National finance team.
  • Partner with the National finance team on financial reporting and grant-related tasks.
  • Maintain organizational records, registrations, contracts, and inventory.
  • Coordinate logistics for Board of Directors meetings and employee appreciation events.
  • Serve as the first point of contact for visitors and callers, directing them appropriately.
  • Maintain an organizational calendar, take meeting notes, and coordinate IT support.
  • Process donations, prepare donor mailings, and assist with special event logistics.
  • Support program staff with event logistics, supply purchases, and data collection.
  • Manage facility maintenance, including contractor selection, landlord relations, and vendor communication.
  • Process and update donor records.
  • Prepare mailings to donors.
  • Manage special event registration and logistics.
  • Provide attendance and support at special events.
  • Coordinate staff event logistics, including scheduling, reservations, registrations, and catering.
  • Purchase food and program supplies.
  • Assist with surveys and data collection.
  • Assist with the reimbursement process.
  • Research and select contractors for facility needs.
  • Manage relationships with landlords regarding safety and space concerns.
  • Communicate with vendors, brokers, and contractors.
  • Coordinate and oversee facility expansions or updates.
