Requirements

  • Bachelor's degree, preferably in a related field
  • Three years of demonstrated experience in managing projects/ initiatives
  • Must understand data specifications and requirements for reporting needs
  • Self-motivated and able to provide results with minimal supervision
  • Ability to convey goals and objectives clearly and in a compelling manner; listen effectively and clarify as needed; interpret verbal and non-verbal messages that others communicate
  • Produce clear status reports; communicate tactfully and candidly
  • Ability to address delicate situations and handle conflicts in such a way as to maximize opportunity and minimize exposure to risk
  • Control communication of sensitive information on a need-only basis
  • Confidence in decision-making
  • Maintain positive tone and promote a work environment to promote teamwork
  • Excellent interpersonal skills in working with varying levels of roles
  • Strong verbal and written communication skills
  • Strong analytical mindset with the ability to concurrently manage multiple projects and shifting priorities
  • Operations and process management knowledge
  • Experience in process mapping and documentation
  • Knowledge of Microsoft Word, Excel, and PowerPoint

  • Knowledge of insurance specific systems and applications
  • Advanced proficiency in Microsoft Excel

Responsibilities

  • Manage all facility related duties and requests to completion, and ensures efficient and safe operation of the business.
  • Supports the Account Management team (Service teams) by managing and coordinating all facility needs.
  • Process all incoming and outgoing mail.
  • Process, receive and scan all checks.
  • Coordinate all facility and IT vendor appointments and services including landlord maintenance vendors, mail/delivery vendors, and other service vendors for the suite.
  • Prepare and distribute facility/suite communications to staff.
  • Manage office supply inventory and stock.
  • Coordinate ad-hoc facility projects such as space planning, consolidation, and telecomm needs.
  • Process all facility and vendor related invoices for payment.
  • Process all Account Management/Service team invoice (re-billable and non-billable).
  • Assist producers and Account Management team with client request for proposal (RFP's).
  • Organize and assist in execution of sales prospecting events.
