About The Position

The Public is seeking an Operations Coordinator to provide administrative support across many aspects of The Public Theater's Operations Department. The ideal candidate will support the daily operations of the organization by coordinating and overseeing various administrative and operational tasks. This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively with different departments. Responsibilities

  • Own and drive all aspects of on-boarding/off-boarding staff in Operations systems, including ID creation, workstation setup, activating operations-based software accounts, and collaborating with the HR Department to ensure seamless employee experience from day one through departure.
  • Proactively manage and maintain the Operations Drive and shared departmental files, including departmental handbooks and the emergency action plan.
  • Anticipate and fulfill office supply needs by monitoring inventory and placing timely orders to support both departmental and organization-wide needs.
  • Support Front Desk coverage and general oversight of front desk organization and best practices.
  • Manage inventory of staff IDs, visitor passes, and related accessories.
  • Coordinate and optimize mail room and delivery processes.
  • Support and troubleshoot Operations software systems, identifying opportunities for improvement and partnering with stakeholders to enhance functionality.
  • Maintain organization, appearance, and functionality of shared workspaces and meeting rooms.
  • Coordinate logistics for deliveries, storage, and general movement of materials and equipment as needed.
  • Act as an operations liaison to production teams by attending load-in/out and planning meetings, proactively identifying and providing operational support for programming.
  • Collaborate with special events and front of house teams to support operational needs for one-off events.
  • Upkeep Public Theater venue calendars in electronic venue management system.
  • Track and manage rehearsal studio resources, maintaining accurate scheduling, monitoring usage, and ensuring spaces and equipment are organized, functional and aligned with operational needs.
  • Perform as departmental Finance Liaison, managing petty cash, processing invoices, and reconciling credit card expenses.
  • Serve as the primary on-site point of contact for studio and theater rental clients, supporting the rentals program by coordinating logistics and addressing day-of operational needs.
