About The Position

As an Operations Coordinator, you will act as a key resource for our customers, addressing their concerns and questions with a focus on processing and researching orders using our SAP system. In this role, you may proactively reach out to customers to receive orders and provide updates on their progress. You will work closely with AR, Admin, Sales Reps, and branches to resolve customer challenges and may route inquiries to other departments to ensure the best support. Your focus will be to use your product knowledge, customer service tools, and interpersonal skills to effectively support each customer in a professional manner. You will also be entrusted with billing, inventory management, and ensuring the integrity of our FDA compliance within the plant.

Requirements

  • High School Diploma or equivalent is required.
  • Candidates must have valid employment authorization in the U.S. and must not require visa sponsorship now or in the future. This position is not open for non-immigrant visa sponsorship.
  • Strong focus on customer service through accurate forecasting, adjusting inventory, and prioritizing deliveries in a timely and efficient manner is required.
  • Excellent oral and written communication skills.
  • Strong interpersonal skills with the ability to use tact and diplomacy in high stress situations is required.
  • Proficient with Google Applications and/or MS Office; SAP experience is strongly preferred
  • Detail-oriented, with strong follow-up skills and the ability to prioritize workload, meet deadlines and understand when to escalate potential issues is required.
  • Self-starter; self-motivated; well organized; ability to work independently and as part of a team in a fast and constantly changing environment with the flexibility to switch gears with little notice is required.
  • Ability to recognize discrepancies and resolve problems quickly using sound judgment, poise and diplomacy is required.

Responsibilities

  • Acts as the subject matter expert and resource for internal FDA policies, procedures, and compliance.
  • Coordinates and completes transfers to other branches within the region to ensure team alignment.
  • Works with plant associates to resolve challenges and nurture improvements to prevent future inaccuracies regarding misses, billing, and order maintenance.
  • Effectively communicates with production, distribution, and sales departments to deliver excellent service, ensuring an uninterrupted supply and delivery of packaged gases.
  • Initiates daily communication with managers and plant associates regarding quotes, order status, and deliveries to keep everyone informed.
  • Partners with plant associates to maintain appropriate stock levels and ensure the right products are available.
  • Collaboratively navigates and guides open orders, shipments, and post-goods issue billing (PGI) for all products.
  • Provides the final stamp of excellence on food-grade and medical-grade product paperwork.
  • Conducts weekly plant walkthroughs to support and confirm FDA compliance.
  • Reviews, organizes, and maintains all FDA files to ensure they are current and accurate.
  • Performs weekly observations of the filling process to support FDA-compliant practices.
  • Leads the quarterly internal FDA audit process.
  • Maintains calibration schedules for thermometers, scales, and gauges to ensure equipment accuracy.
  • Manages and adds produced inventory as needed to keep operations running smoothly.
  • Creates purchase orders and tickets for will-call customers to provide a seamless experience.
  • Supports the team by updating inventory from the previous day whenever necessary.
  • Oversees UE billing and cylinder movements.
  • Maintains bulk and cylinder inventory through careful management.
  • Submits RAN# for customer-owned cylinders (ASG/Tooele).
  • Performs daily verification of outbound and inbound products to ensure accuracy.
  • Orders and maintains FDA inventory items, ensuring they are stored correctly and safely.
