About The Position

The Operations Coordinator is responsible for coordinating day‑to‑day operations at a fixed customer location, ensuring smooth service delivery, accurate invoicing, workflow efficiency, and a positive customer experience. This role provides operational support without direct people management, serving as a critical link between technicians, customers, and operations leadership.

Requirements

  • Minimum 2 years of experience in a customer‑facing, service coordination, operations, or support role.
  • Experience working in fast‑paced, service‑based organizations where responsiveness, communication, and follow‑through are critical.
  • Strong organizational and multitasking skills.
  • Ability to thrive in a technology‑driven environment where systems, tools, and processes are continually evolving.
  • Continuous computer use.
  • Ability to lift up to 40 lbs occasionally.
  • Frequent standing, walking, bending, and lifting.
  • Must pass an MVR, pre-employment drug screening, and background check.

Responsibilities

  • Coordinate daily vehicle flow through the reconditioning process.
  • Track and prioritize work‑in‑process to maximize efficiency.
  • Execute new vehicle inspections and lead lot walks to identify work.
  • Ensure services are delivered according to customer requirements and schedules.
  • Perform quality checks throughout the service process.
  • Participate in QBRs for designated customers.
  • Transport vehicles to ensure proper flow in the shop.
  • Oversee invoicing accuracy, collection, and timeliness.
  • Consolidate work orders and resolve discrepancies.
  • Support order‑to‑cash processes and issue escalation.
  • Maintain accurate operational records.
  • Serve as a key point of contact for customer communication.
  • Provide status updates and address service concerns.
  • Escalate pricing or service issues appropriately.
  • Identify value‑added solutions to support customer needs.
  • Maintain awareness of environmental, safety, and health standards.
  • Support compliance with Dent Wizard policies and procedures.
  • Ensure work areas remain organized and compliant.
  • Support onboarding and orientation of new employees at the site.
  • Reinforce Dent Wizard's core values and service standards.
  • Participate in field communications and site meetings as needed.
  • Other duties as assigned.
