About The Position

Academic Support Programs (ASP) has an outstanding opportunity for a part-time Operations Coordinator to join their team. Reporting to the Assistant Director, the Operations Coordinator is responsible for supporting the coordination and continuous improvement of ASP by overseeing daily operations and strengthening systems that support program success. This role works closely with ASP staff to assess and improve processes, support the development, documentation, and implementation of policies and procedures, and contribute to operational problem-solving under the direction of leadership. In addition, the Operations Manager coordinates day-to-day program operations, supports front desk and administrative functions, and contributes to communication, planning, and general program coverage across ASP. This position is a 0.5 FTE position working 20 hours per week. This position is 100% in person in Mary Gates Hall 274 (front desk) during the academic year. During the summer, the position may be approved for a hybrid teleworking schedule. Work hours are Monday - Friday from 9 am - 1 pm. This position is currently funded through June 30, 2028, and has a possibility of being extended if additional funding is received. Hours are adjusted during the first week of fall quarter for support in ASP student staff orientation training and Dawg Daze events. This includes working different hours including an evening and on Saturday of that week. Hours will be adjusted during the week to still work 20 hours a week.

Requirements

  • High school graduation or equivalent AND two years of experience in student services at the college level.

Responsibilities

  • Assume responsibility for the day-to-day operations of ASP programs (e.g., CLUE Tutoring, Academic Success Coaching, workshops, and ASP suite operations), including managing front desk operations, assisting students with inquiries, and ensuring materials are prepared for coaches, tutors, and events.
  • Develop and maintain process improvements and documentation for ASP Systems (Google Drive, Microsoft Bookings, CLUE Queues, Events Calendar)
  • Establish and maintain a supply/inventory system for ASP.
  • Support ASP staff in the development, documentation, and implementation of program policies and procedures, contributing input as appropriate while following direction from leadership.
  • Provide operational support for ASP events, meetings, and activities (e.g. scheduling events, room reservations, ordering supplies).
  • Provide operational support for large learning environment programs including study groups, exam reviews, workshops (e.g. scheduling, email outreach, room reservations).
  • Contribute to the continuous improvement of ASP programming by piloting and refining processes such as program scheduling workflows, student staff coordination, and student communication strategies, and by supporting special projects (e.g., new workshop development, program expansion, or assessment initiatives).
  • Represent ASP at student recruitment and outreach events (e.g. on-campus fairs).
  • Coordinate ASP involvement with student events.
  • Support student-facing marketing and communications efforts including academic support emails, social media, etc.
  • Assist in maintaining communications with offices on and off campus.
  • In collaboration with ASP staff, support marketing and outreach efforts for recruitment, hiring, and events.
  • Aggregate and clean student data for ASP evaluation, assessment, and reporting efforts.
  • Provide operational support for hiring student employees (e.g. submitting hiring information to HR/ Payroll Manager, managing contracts and appointment letters, tracking required trainings).
  • Participate in recruitment, selection, interview, and onboarding of new student employees.
  • Manage ASP shared workspace for student staff.
  • Coordinate mailroom check and support ASP suite operations with Assistant Director.
  • Serve as support for ASP suite operations including front desk staffing and operations.
  • Support front desk operations management and coverage.
  • Support facility operations needs.
  • Develop and maintain onboarding processes for front desk student staff.
  • Work with ASP programs to advance the goals of ASP, UAA, and the UW.
  • Participate in and facilitate ASP staff meetings and working groups.
  • Serve on UAA and campus committees as needed.
