About The Position

The Wyoming Outdoor Council is seeking an Operations Coordinator to join their operations team and support the organization's conservation and fundraising efforts. This role involves working closely with the business operations manager and finance and operations director to manage campus operations, financial tasks, and general administrative support. The ideal candidate is collaborative, self-driven, highly organized, and committed to the mission of environmental conservation and equity.

Requirements

  • Experience working with databases and understanding the value of consistent data entry processes.
  • Comfortable maintaining the confidentiality of donor information.
  • Ability to deliver high-quality work and apply careful thought beyond basic directions.
  • Experience with general accounting tasks, accuracy, and initiative.
  • Experienced working on Macs and with standard office technology.
  • Comfortable learning new systems and working within Google Workspace’s collaborative environment.
  • Ability to create and maintain spreadsheets with strong attention to detail.
  • Good sense of humor, ability to work well with others, and value completing work thoroughly and on time.
  • Willingness to pitch in where needed, manage multiple projects at once, and know when to ask for support.
  • Valid driver's license and a clean driving record.

Responsibilities

  • Troubleshoot and resolve campus-related issues, serving as the point person for all campus needs.
  • Ensure general campus organization and cleanliness, including trash removal, recycling, and maintenance of kitchen, meeting rooms, copy room, and garage.
  • Maintain exterior grounds, coordinating with landscapers and snow removal services.
  • Coordinate with contracted cleaners, landscapers, and other vendors.
  • Manage vehicle usage, cleanliness, repairs, maintenance, and registrations, and monitor EV charging station usage.
  • Manage the use of the publicly-shared meeting space, including setup, online booking, and communication.
  • Manage the recycling bin rental program.
  • Maintain campus security and manage door code and key assignments.
  • Responsible for opening and closing the office.
  • Process daily donation entries into the database and maintain communication with the development team.
  • Process staff monthly expense reports.
  • Ensure bank deposits are made at least weekly.
  • Support monthly donation database reconciliation processes.
  • Maintain current merchandise inventory.
  • Assist with bookkeeping, daily financial processes, and audit preparation.
  • Support filing and accounts payable.
  • Greet incoming visitors and ensure their needs are met.
  • Process incoming mail and packages.
  • Monitor and address needs in the organizational email.
  • Support internal event logistics, such as the annual staff retreat, and assist with external event logistics as needed.
  • Maintain approved levels of snacks and office supplies.
  • Support onboarding and offboarding of staff and board.
  • Assist with data entry projects and regularly scheduled publication mailings.
  • Serve as back-up for Technology and Systems Coordinator in setting up technology for internal meetings.
  • Support the work of equity and belonging at WOC.
  • Attend and participate in annual staff retreat and in-person staff days.
  • Other duties as assigned.
