About The Position

This role works in collaboration with Program Management in program operation and development, focusing on program policies, procedures, and communication systems. The Operations Coordinator provides supervision to assigned staff, including client workers, and is responsible for hiring, training, maintaining employee records, and preparing weekly timesheets. They also complete and maintain all stages of the BPHC Professional Development System (PDS) for assigned staff. In collaboration with designated manager(s), they ensure coverage for daily shift operations, scheduling overtime and fill-in counselors. The position involves providing direction and assistance during crisis intervention according to Non-Violent, Crisis Intervention Policy and Procedures. The Operations Coordinator oversees the daily operations of the assigned shift, including the safety, security, and cleanliness of the facility, and communicates maintenance issues to the facilities department. They oversee client services during the shift, monitoring meals, linen returns, and toiletry and clothing distribution, and work with vendors to ensure high-quality services. Responsibilities also include overseeing work details, resident admissions, room assignments, and Client Property procedures, as well as client transportation and vehicle maintenance services. The role involves assisting in the facilitation of support group meetings, treatment groups, AA/NA meetings, life skills, and other client trainings. A multi-disciplinary approach is expected when working with other health services, addiction, and behavioral health service agencies or departments, making appropriate referrals. Extensive record-keeping is required, including incident and assessment reports, disciplinary records, bed register, and client database. The position oversees medication administration and storage, developing protocols in conjunction with the Program Director and MDPH or funder guidelines. Ordering office supplies, opening purchase orders, and assisting with budget monitoring are also part of the role, along with enforcing program policies and assisting in the design and implementation of shift policies. Attendance and facilitation of assigned meetings are required, along with performing other tasks as needed.

Requirements

  • Bachelor's Degree with a minimum of one (1) year supervisor experience and two (2) years of human service experience OR College-level course work equivalent to an Associate's degree with two (2) years minimum supervisory experience and three (3) years human service experience OR High School Diploma/GED Certificate and three (3) years or supervisory experience and three (3) years of human services experience.
  • Licenses, certifications or program specific experience may be required by grant or program needs.
  • Must possess and maintain a valid Massachusetts Driver's License with safe driving record (copy of driving record will be required in accordance with Department/program procedures).
  • Experience working with the homeless, diverse ethnic, racial and low-income populations, and an understanding of mental health issues and substance abuse.
  • Strong written and verbal communication skills required.
  • Computer skills are essential.

  • Work in multi-disciplinary approach with other health services, addiction, and behavioral health service agencies or departments. Works with program staff and outside agencies to make appropriate referrals.
  • Completes all required record keeping, including incident and assessments reports, disciplinary records, bed register, client database.
  • Oversees medication administration and storages. Develops protocols for safe medication storage and administration in conjunction with the Program Director and the MDPH or funder guidelines.
  • Orders office supplies, opens purchase orders, and assists Program Director with monitoring program budget as assigned.
  • Enforces program policies and plans, assists in designing and implementing shift policies.
  • Attends and/or facilitates assigned meetings.
  • Performs other tasks as needed and as requested by supervisor.
