About The Position

Wharton-Smith, Inc., a highly regarded General Contractor based in Southwest Florida, is seeking a qualified candidate for an Operations Coordinator (administrative) position in our Ft. Myers, FL office. This role provides essential administrative support to project teams, including the Project Manager, Project Engineer, and Superintendent. The coordinator will utilize project management software to manage subcontracts, purchase orders, bonds, and other project-related functions. They will also use departmental software for research and report review, ensuring accuracy and thoroughness in all tasks. Maintaining project documents, assembling project manuals, and performing routine internet functions are key duties. Experience with Owner Direct Purchase purchases and MBE reporting is advantageous, as is familiarity with Contract Manager Software. The position also involves other general office duties as needed.

Requirements

  • Proficient in Microsoft Word, Excel, and Outlook.
  • Proficient in copying/moving files and creating directories in a Windows environment.
  • Excellent organizational and problem-solving skills.
  • Ability to prioritize and manage multiple projects simultaneously.
  • Ability to proactively follow through on issues in a timely manner.
  • Ability to work independently and in a fast-paced team environment with limited supervision.
  • Detail-oriented and self-motivated.
  • Excellent interpersonal skills with co-workers and clients (via phone, email and in-person).
  • Ability to comply with applicable department policies, procedures, rules and regulations.
  • Attention to detail and math skills are essential.
  • Possess a valid driver’s license.
  • Reliable and professional demeanor.

Nice To Haves

  • Knowledge of processing Owner Direct Purchase purchases and MBE reporting.
  • Knowledge of Contract Manager Software.
  • Some accounting background.

Responsibilities

  • Review own work to ensure accuracy, thoroughness, and neatness.
  • Maintain project documents within the project management software and project files.
  • Gather and assemble supporting documents for project manuals.
  • Perform routine functions on the Internet.
  • Process Owner Direct Purchase purchases and MBE reporting (a plus).
  • Perform other administrative and general office duties as needed.
