About The Position

The Operations Coordinator + Compliance Lead plays a key role in advancing this mission, ensuring that operational systems, staff, and programs are aligned with New School San Francisco’s Pro-Black, anti-racist vision, and that all school operations reflect the school’s commitment to equity, justice, and excellence. At New School SF, the Operations Coordinator and Compliance Lead will play a central role in the everyday life of our community. This includes overseeing the front office, building relationships with families and staff, ensuring a safe and healthy school environment, and supporting the overall operations of the school. In your day-to-day, you’ll ensure systems are maintained and experiences are delivered in alignment with the New School’s core values. You can expect to wear many hats as you keep projects moving forward and implement best-in-class operations. You will report to the Chief Operating Officer.

Requirements

  • Belief in New School SF’s mission, vision and values
  • 3-6 years of experience working in an office or school administrative environment, with a focus on operations
  • Experience with technology and office applications (Google Suite, Word, Excel), and social media
  • Experience with AP/AR
  • Experience working with staff and families from diverse backgrounds and with diverse needs
  • Excellent interpersonal and communication skills
  • Fast and nimble learner

  • Bilingual in Spanish (preferred)
  • Open to in person, hybrid, or remote (must work on West Coast hours)

Responsibilities

  • Help develop and maintain efficient operational procedures and project management tools to enhance school operations and overall organizational effectiveness
  • Manage daily administrative tasks: including support in coordinating logistics, research, meeting preparation for board meetings, manage google drive; and help to maintain digital and physical records, frequently checking and managing assigned inboxes
  • Coordinate with vendors and service providers as needed in concert with appropriate staff
  • Attend and participate in designated meetings in relation to the position
  • Support onboarding and offboard of staff and students
  • Support and ensure the integrity of New School SF’s business systems and platforms (i.e. PowerSchool, etc)
  • Process invoices, reimbursements, and other financial transactions (AP/AR) in a timely manner, and collaboration with finance partner
  • Support operations team with critical thinking processes to elevate the organization
  • Handle and maintain confidential information
  • Support implementation and monitor systems and procedures necessary for an efficient and effective organization.
  • Support the organization in maintaining compliance with all applicable federal, state, and local education regulations, including California charter school requirements, as well as internal policies and procedures.
  • Maintain accurate and audit-ready records across key operational systems (e.g., student information systems, staff files, attendance, enrollment, and mandated reporting documentation), ensuring data integrity and consistency across platforms.
  • Monitor compliance-related deadlines and reporting requirements (including attendance reporting, enrollment documentation, immunization records, emergency forms, and other required submissions), and proactively coordinate with relevant stakeholders to ensure timely completion.
  • Support preparation for audits, site visits, and reporting cycles by organizing documentation, tracking required submissions, and identifying missing or incomplete records.
  • Conduct routine reviews of operational and compliance-related processes to identify gaps or risks, and escalate concerns with recommended solutions to the Operations leadership team.
  • Support the implementation and maintenance of systems and workflows that strengthen compliance tracking, documentation, and accountability across the organization.
  • Collaborate with cross-functional teams across the school and organization to optimize processes for sustainable and lasting improvement and impact
  • Collaborate with operations team members to ensure clear communication and coordination of tasks
  • Support the development and dissemination of emergency and crisis communications, including timely coordination of messaging to staff, families, and stakeholders in alignment with school leadership and established protocols.
  • Assist in drafting/translation and dissemination of internal communications and reports.
  • Effectively and consistently communicate applicable information and updates to internal and external stakeholders
  • Proactively check in with team members and cross team divisions to ensure continued efficiency and effectiveness for their program needs
  • Manage a portfolio of special projects aligned to the greatest needs of the organization. These projects will may be operations specific or cross functional in nature as designated by the Chief Operating Officer.
  • Thought partner with the Chief Operating Officer to develop, implement , and provide strategic operational initiatives that enhance the efficiency and effectiveness of the organization.
  • Participate in ongoing quality improvement projects and initiatives for the organization.
