About The Position

Hauptman Ham, LLP is a mid-sized, boutique intellectual property law firm based in Alexandria, Virginia with offices in China, Korea and Japan. Its legacy began over 50 years ago. We are looking to hire an Operations Clerk to work with the Associate Administrator to provide essential administrative support for the Firm’s stakeholders. They will support the firm’s day-to-day office administration by handling daily tasks, such as sorting and distributing incoming mail and packages, coordinating work station and conference room reservations, and assist in a variety of office tasks. This is a part-time position.

Requirements

  • Intermediate to advanced experience in using Microsoft Office Suite
  • Proven strong verbal and written communication skills
  • Experience with office equipment such as printers, scanners and phone systems
  • Ability to multitask and prioritize daily work
  • Discretion to manage confidential information
  • The ideal candidate must be open to constructive criticism and demonstrate the ability to accept change with a focus on positive outcomes.
  • Strong organizational skills are a must.

Responsibilities

  • Assist in Office Space Hoteling (offices, cubicles, & conference room)
  • Submit Office Maintenance & Amenity Center Event requests
  • Receive & Log All USPTO & Courier Mail
  • Deliver Processed Docketing Mail w/documentation
  • Schedule Pick-up or Drop Off Courier Documents and packages
  • Deliver Hand Carries to USPTO & Track Receipts
  • Organize In-Office Storage
  • Organizing Invoices & Vendor Correspondence
  • Update Operations SOPs
  • Maintaining supplies inventory, ordering supplies and stocking kitchens
  • Track operations ticketing system
  • Assist with HR mailings
  • Assist with Firm event planning (Annual gatherings & special events)
  • Update Position Descriptions
  • Update HR SOP and materials
  • Other duties may be assigned as necessary
