About The Position

The Operations Clerk is responsible for maintaining excellent working relationships with customers by researching and responding to inquiries and issues concerning work orders, invoices, shipments, and inventory counts. This role involves processing customer orders, ensuring accurate invoicing, and acting as a liaison between the warehouse, office, and customers. The clerk will also maintain a procedures manual, report customer feedback, handle telephone calls, operate office machines and computers, create reports, prepare shipping documents, update product quantities using an RF gun, utilize the Yard Management System (YMS), dispatch drivers, and manage a driver check-in/out log. Additionally, they will be responsible for batching and sorting order pick tickets. Marginal functions include training new hires, assisting with accounts receivable collections, contributing to process improvement, performing cycle counts, and maintaining a clean and safe work environment.

Requirements

  • High School diploma or GED, required
  • Project driven and detail oriented attitude
  • Willingness to learn internal customer service software applications
  • Excellent interpersonal and communication skills, written and verbal
  • Must be computer literate, ability to type 30wpm and have working knowledge of Microsoft Office applications.
  • Ability to work efficiently with a professional, customer friendly attitude.

Nice To Haves

  • Previous Inventory Control, Quality, or related experience, preferred
  • Previous experience in an Automotive Environment, preferred
  • Previous experience with Continuous Improvement Plans and Lean Manufacturing Techniques, preferred
  • Familiarity with SOX Compliance requirements, preferred
  • Familiarity with SDS/Hazmat Safety, Preferred

Responsibilities

  • Maintain excellent working relationships with customers by researching and responding to all inquiries and issues concerning work orders, invoices, shipments, inventory counts, etc., in a courteous, professional and efficient manner.
  • Process and accurately input all customer orders into the computer system and generate all related paperwork and necessary information required for customer and warehouse purposes.
  • Ensure proper invoicing of customers by verifying computer generated invoices.
  • Act as a liaison between the warehouse and the customer in administration of accounts, and between the office and customer regarding invoicing and collection concerns.
  • Maintain a current and accurate procedures manual that details the processing requirements for each account.
  • Report customer feedback to management in a timely manner, including any signs or trends of customer dissatisfaction.
  • Answer telephone calls and operate various types of office machines and computers necessary to perform duties.
  • Create accurate and timely reports as requested by management or customers.
  • Maintain paperwork and prepare documents, such as bills of lading and shipping orders.
  • Use RF gun and/or complete proper forms as required to maintain and update product quantities.
  • Use of the Yard Management System (YMS).
  • Responsible for dispatching drivers and maintaining a driver check in/out log.
  • Responsible for batching and sorting order pick tickets.
  • Provide on the job training for new hires.
  • Assist in the accounts receivable collections process with assigned customers, where applies.
  • Strive for continuous process improvement.
  • Perform cycle counts or verification of inventory quantities and locations.
  • Maintain a clean and safe work environment.
