About The Position

The Operations Associate is a full-time, year-round position that reports to the Dean of Operations and serves as a member of the school’s Operations Team. The Operations Associate manages key daily operations systems and provides administrative support to ensure the school runs smoothly and manages key aspects of school operations.

Nice To Haves

  • The ability to speak Spanish preferred
  • A minimum of two years of experience in an urban public school or charter school setting preferred, but not required
  • Preference will be given to applicants who share points of intersection with our students, such as speaking Spanish, Portuguese, Arabic, or a language commonly spoken by our students and families at an advanced level, being first generation college graduates, or having grown up low-income.

Responsibilities

  • Manage the front lobby and main office of the school
  • Answer the phone, receive visitors and manage external visitors and vendors
  • Ensure clear systems for sending and receiving physical mail and packages
  • Provide administrative and operational support to ensure the school runs smoothly
  • Order and setup food for staff for special events and professional development days
  • Own materials setup for MCAS testing
  • Track and maintain student records
  • Own daily attendance and automated family communications re: attendance
  • Facilitate communication with families by sending auto-calls and text messages
  • Manage the school’s e-fax electronic fax system
  • Manage the school’s printers, troubleshoot issues and call the vendor for support with escalated issues
  • Manage school supplies and storage
  • Create systems to ensure supply storage is tidy and stocked
  • Purchase supplies for staff spaces including the staff lounge and shared supply cabinets
  • Manage finances and bookkeeping
  • Own the fidelity of the school’s purchase order system to facilitate purchasing for staff
  • Complete the monthly credit card reconciliation for the school’s credit card
  • Manage the school’s Chromebook inventory
  • Support with troubleshooting Chromebooks
  • Design and monitor systems for Chromebooks to be managed in the classroom
  • Track damage and loss
  • Ensure the accuracy of annual inventory and setup processes
  • Contact the school’s Chromebook vendor for escalated issues and support
  • Serve as a productive member of Excel’s Operations Team
  • Serve as a productive member of the Excel Community
