About The Position

As an Operations Associate III in the Investment Advisor Operations team, you will be responsible for processing a variety of requests relating to client advisory accounts. Account administration includes new account setup, terminations, fee billing, customer service, and general updates to client advisory accounts. In this fast-paced and deadline driven environment, you will be dedicated to quality work by providing superior customer service and partnering with others in a team environment to deliver results in a timely manner. Requirements

  • 4-year degree from an accredited university (or equivalent) OR high school diploma (or equivalent) AND 2+ years of job-related experience
  • Effective problem identification, multitasking, and resolution skills along with proficient computer skills in Microsoft-based software products
  • Ability to communicate effectively both verbally and in writing, excellent customer service skills, organizational skills, and superb attention to detail
  • Ability to handle multiple priorities in a fast-paced and deadline driven environment

Nice To Haves

  • 4-year degree from an accredited university in business, finance or related field
  • 1+ year business, finance, customer service and/or accounting/bookkeeping experience

Responsibilities

  • Accurately establish, maintain, bill, and close assigned accounts in a timely manner, ensuring all department service levels are observed.
  • Processing activities are thoroughly documented and proper documentation is received from branch offices.
  • Ensure processing is within regulatory and firm guidelines for advisory accounts.
  • Provide quality customer service to branch office personnel, correspondents and third party money managers as primary contact for all questions concerning advisory accounts.
  • Provide detailed, accurate and timely communications to ensure the Financial Advisor or Client Associate has a reasonable understanding of the operational status of an account.
  • Assist supervisor with activities surrounding periodic account billing.
  • Be able to explain all aspects of billing, verify when charges occur, ensure investment advisors and referral partners are paid properly, print invoices as necessary.
  • Research and resolve issues, errors or billing discrepancies in a timely manner.
  • Respond to Financial Advisor and/or other affected parties within 24 hours of notification of error.
  • Assist other team members with opening, billing and closing accounts as volumes warrant.
  • Reduce risk by suggesting process changes or modifications as appropriate.
  • Perform other duties and responsibilities as assigned.
