About The Position

The Branch Operations Assistant position is responsible for supporting local branch operations through effective customer service. This position will handle multiple accounting, administrative, customer service, and inspection duties.

Requirements

  • High School Diploma or general education degree (GED); or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • Strong work ethic and a desire to succeed.
  • Excellent communication skills, both oral and written.
  • Attention to detail and highly organized.
  • Current state driver’s license.
  • Proficient in Word, Excel, and Outlook.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals, and governmental regulations.
  • Ability to write reports and business correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts such as fractions, ratios, percentages and proportions to practical situations.
  • Must operate equipment such as phone, computer, copy machine, fax machine, fork truck, yard goat, hand tools and refrigerated trailers.
  • Must be able to pass a pre-employment background check.

Responsibilities

  • Operate a yard goat.
  • Move trailers within the yard.
  • Complete inspections consistently utilizing the equipment inspection check list.
  • Climb into and on top of van trailers and flatbeds for inspection.
  • Compare outbound inspection to inbound inspection; report customer bill back for damages.
  • Maintain signs/tags/flags for out of service, sale and sold units.
  • Set up new Vendors, issue purchase orders, prepare invoices for payment.
  • Set up new customers in the MMS.
  • Generate and process miscellaneous invoices for sales, repairs, and other needs.
  • Perform accounts receivable, make customer aging calls and or send out demand letters.
  • Process credit card payments and authorizations.
  • Manage all incoming and outgoing communications including phone calls, mail, e-mail, faxes, and overnight packages.
  • Maintain office supplies and oversee office equipment.
  • Maintain local licensing/registration paperwork/fleet vehicle licensing.
  • Open, process, and close rental agreements in computer and process related paperwork.
  • Initiate the mailing of new account application packets to prospective customers; process new account applications.
  • Plan, schedule, and dispatch drivers for pick-up and delivery.
  • Complete sales orders for reserved equipment.
  • Inquire with customers at check-in if equipment is returned damaged.
  • Perform weekly yard check for rental and resale inventory and reconcile information.
  • Receive customer service calls. Resolve and/or redirect customers; follow up on completion.
  • Control and track inventory, assign equipment, maintain documents and records.
