About The Position

The Operation & Maintenance Coordinator plays a key role in ensuring operational readiness at the Sunshine Village Ski and Snowboard Resort and associated work sites. This role manages logistics, documentation systems, workflows and cross departmental initiatives. The Operations & Maintenance Coordinator reports to the Vice-President of Operations and Maintenance, liaising frequently with all Resort departments, external partners, and contracted personnel. The primary function of this role is to support the administration functions, physical and digital information systems, and projects for work falling under the broad scope of Resort Operations and Maintenance. Performing a broad range of tasks related to the above, with minimal supervision.

Requirements

  • Completion of post-secondary degree, certificate, or training program in an administrative field. Previous experience in an administrative or project coordination role is preferred. A combination of relevant training and experience will also be considered.
  • Familiarity with resort operations/maintenance, safety compliance and workflows.
  • Proficient in computer systems, applications, and document control.
  • Ability to manage multiple priorities with minimal supervision, or in group settings with good time management.
  • Able to oversee large amounts of information (sensitive, operational), use discretion, uphold privacy standards.
  • Prepared to work flexible schedules e.g. weekends, holidays, nights, extended hours.
  • Prepared to work outdoors in all weather conditions e.g. appropriate footwear, layers, gloves.
  • The ability to communicate effectively and objectively, in English (written and verbally) with a range from entry-level staff to senior company representatives and regulatory personnel is a must.
  • Positive, professional and mature demeanor when knowingly acting as a company representative on or off duty.
  • Effectively provide training, support and assistance to coworkers.
  • Conduct, attend, and actively participate in meetings, training, and team events.
  • Employees must always be of sound mind, exhibit good judgment, and report to work fit for duty.
  • Requires standing/sitting for long periods of time, operating computerized equipment, lifting, pushing/pulling (up to 25 kg), kneeling, crouching, inclined stairs. Hike and move around easily in a remote, alpine environment.
  • This role requires travel and may operate vehicles and off road/highway vehicles. A valid Alberta driver’s licence and clean abstract is required, and successful candidates undergo additional training and review for additional job responsibilities such as driving, operating equipment, skiing and riding for work.
  • This role works around moving equipment and, at times, this role operates hand/power tools and equipment.
  • Some uniform pieces (liner, jacket, pants, collared shirt, polo) are provided. A neat appearance is always required.
  • Candidates are required to provide CSA-approved safety footwear.
  • This role requires resort presence with some remote work available.
  • This role has potential exposure to industrial chemicals e.g. solvents, oils, grease.

Responsibilities

  • Assist in creating, tracking and completing documentation e.g. maintenance logs, employee training, PM records, safe work plans, compliance/regulatory documents, permits, inspections, workflows, agreements.
  • Support procurement procedures, inventories e.g. tracking, ordering, SDS.
  • Maintaining, assigning and following up on completion of department tasks.
  • Reviewing, creating, communicating and adhering to company initiatives and policies, relevant legislation and manufacturer guidelines.
  • Drafting purchase orders and disbursement requests.
  • Monitoring deadlines for maintenance, renewals, audits, and required filings.
  • Promptly communicating unusual operating conditions e.g., mechanical, operational, environmental.
  • Timely and accurate reporting of all incidents and deficiencies to appropriate departments/personnel.
  • Supporting Project Management and VP Executive functions, including contractor management; AFE process, singular projects, collaborative department projects and initiatives.
  • Other duties may be requested and assigned from time to time.
