About The Position

We are partnering confidentially with a well-established investment firm to fill this role. Our client is a 23-year-old investment firm providing commercial real estate services to accredited investors — sponsored investments, advisory services, 1031 exchange structuring, asset management, portfolio analysis, and consulting. The firm pursues opportunistic real estate investments across the western U.S., focused on value-add repositioning, ground-up development, and asset management of multifamily, industrial, and retail assets. It partners with 250+ high-net-worth families, accredited individuals, and select institutional investors, most of whom are repeat investors.

Requirements

  • High judgment and discretion with confidential financial, personal, employee, and investor information.
  • Proven ability to research, troubleshoot, and deliver finished solutions independently
  • Strong accuracy in written work and follow-through
  • Excellent drafting/editing skills for HNW investors and senior leaders
  • Comfortable balancing long-term projects with daily execution
  • Quick to adopt new productivity, CRM, and operational tools
  • 4+ years in operations, executive support, investor relations, or HR — ideally in commercial real estate, private equity, or wealth management
  • Bachelor's degree in Business, Communications, Finance, or equivalent experience

Responsibilities

  • Provide confidential administrative and personal support to the CEO; manage calendar, scheduling, travel, expenses, and meeting prep (agendas, materials, follow-ups); coordinate across investments, asset management, accounting, IR, and leadership; manage vendors, IT consultants, and software subscriptions; plan off sites, investor gatherings, and company events.
  • Serve as primary contact for routine and elevated investor inquiries; independently prepare marketing decks, LP reporting, quarterly updates, capital call notices, and distribution communications; maintain data integrity across the investor database/portal; manage investor appreciation initiatives (gifting, events).
  • Coordinate with third-party HR provider on payroll, benefits, personnel records, and multi-state compliance; maintain employee handbook and compliance postings; support onboarding; help plan quarterly off sites and team events.
  • Identify workflow bottlenecks and implement software/process improvements; draft and maintain SOPs across departments; execute ad hoc projects as directed by leadership.
