About The Position

The Operations and Compliance Coordinator serves as a key point of contact for Operations Leadership, providing statistical information and monthly KPI reporting. This role is instrumental in assisting with operational process improvements and requires collaboration with various departments including installation, project management, scheduling, and warehouse operations to address operational concerns. The position is responsible for maintaining updated safety manuals, ensuring safety training compliance, developing toolbox talks, and managing safety supplies. Additionally, the coordinator will handle administrative tasks related to operations close-out, such as timesheet processing and delivery ticket reconciliation, and is accountable for petty cash handling and auditing. The role also involves process and reporting improvements, adherence to departmental procedures, and assisting with year-end inventory and cycle count clarifications.

Requirements

  • Minimum High School Diploma
  • Minimum 3+ year support/operations experience.
  • 3 – 5+ years distribution, or similar type of industry experience.
  • Proficiency in basic computer software platforms, including MS Office Suite and Adobe products.
  • Displays solid interpersonal skills and works well in a team environment.
  • Excellent problem-solving skills, organizational, and administrative skills; ability to follow through in a multi-task organization.
  • Uses clear and professional communication, both verbal and written.

  • BA/BS degree in business or related field preferred.

Responsibilities

  • Serve as a single point of contact for Operations Leadership statistical information.
  • Report monthly on KPIs.
  • Assist with operational process improvements.
  • Confer with management, installation, project management, scheduling, warehouse, and other departments on operational concerns.
  • Conduct monthly reviews of fuel usage with the Installation Manager and Director of Operations.
  • Upload the Budget vs Actual report monthly and distribute it for review.
  • Review the Budget vs Actual report monthly with the Installation Manager and Director of Operations.
  • Perform daily review of the Hedberg delivery ticket report to monitor installation crews and scheduling.
  • Report on admin time, warehouse time, and non-billable overtime at the end of the month.
  • Maintain fair and accurate reporting reviewed monthly.
  • Assist in month-end operations close-out, ensuring timesheets are processed and delivery tickets are returned.
  • Ensure OPS close out is completed.
  • Maintain and update the Safety Manual.
  • Ensure all associates are up to date on Safety Training.
  • Develop and send toolbox talks to HR for distribution.
  • Take, save, and upload meeting minutes following the outlined Agenda.
  • Distribute previous meeting minutes for review during Safety Meetings.
  • Upload site audits to the proper folder, named with customer and date of audit.
  • Order Safety Supplies under Hedberg.
  • Maintain an organized Safety Team binder for each year.
  • Update safety information on multiple websites: isnetworld.com, construct.secure.com, and app.avetta.com.
  • Assist and work on process and reporting improvements.
  • Be in compliance with departmental procedures regarding process, deadlines, and service level expectations.
  • Assist in End of Year Inventory and monthly warehouse cycle count clarifications.
  • Handle and audit petty cash.
