About The Position

Reporting to the chief investment officer (CIO), the operations and administration manager, Investments, will provide seasoned, high-level strategic, operational, and administrative support to the CIO and members of the Investments team. The operations and administration manager ensures that the team operates efficiently, priorities and projects are executed promptly and smoothly, and appropriate parties are informed and aligned. This position is not involved in investment decision-making or portfolio management; rather it focuses on operational excellence, planning, and execution, and acting as a proxy for the CIO in certain internal and external contexts. As with staff at all levels of RWJF, the operations and administration manager is expected to demonstrate a passionate commitment to equity and the Foundation’s mission and Guiding Principles.

Requirements

  • Bachelor’s degree and ten (10) years of experience supporting executive leaders.
  • Experience working in a corporate, financial, or professional services organization.
  • Experience managing projects and priorities across multiple parties.
  • Excellent verbal and written communication skills.
  • Ability to exercise discretion and maintain high levels of confidentiality.
  • Demonstrated interpersonal skills and ability to work effectively as part of a multidisciplinary team with persons from diverse cultural, social, and ethnic backgrounds.
  • Strategic thinking skills with ability to anticipate needs, identify issues, and develop and implement solutions.
  • Advanced proficiency with PowerPoint and Excel, Zoom and Zoom AI Companion, and Workday; ability to quickly master enterprise and investment-specific software and applications.
  • Versatile, adaptable, and thrives amid changing needs and priorities.
  • Ability to work in a hybrid environment with presence in midtown Manhattan office four days a week.

Responsibilities

  • Own day-to-day operations for the investments team, including scheduling, overseeing the private investment annual meeting tracking and registration process, agenda development, meeting preparation, note-taking and follow-up on action items.
  • Coordinate contracting, vendor management, invoice processing, and budget tracking in partnership with Finance.
  • Provide travel, expense reporting, and logistics support to team members.
  • Organize and maintain documentation utilizing enterprise and investments-specific systems.
  • Translate team goals and strategic initiatives into actionable plans, milestones, and timelines.
  • Monitor progress against priorities, identify bottlenecks, and proactively drive resolution.
  • Facilitate alignment across the investments team and with cross-functional partners.
  • Lead the development and coordination of Investment Committee (IC) and Board materials, ensuring that deliverables are professional, polished, and timely.
  • Manage cross-functional projects within the Investments team involving Finance, Law, and Operations.
  • Track deliverables and ensure accountability across appropriate parties.
  • Identify operational inefficiencies or gaps and recommend practical solutions.
  • Serve as a proxy for the CIO in external communications, including with IC members.
  • Handle inbound requests and communications for CIO.
