About The Position

The Operations & Analytics Specialist is accountable for the financial integrity, operational accuracy, and analytical rigor that underpins Ivey Publishing's royalty program, reporting infrastructure, and contract administration. Reporting to the Associate Director, Business Development, this role operates with a high degree of independence and serves as the primary point of accountability for royalty processing and author payments across a portfolio of more than 1,250 authors and institutions, the development and maintenance of reporting and analytics tools that support business decisions across Ivey Publishing, and the administration of partner, supplier, distributor, and co-brand contracts. This role works in close collaboration with Ivey Finance on accruals, year-end payment reconciliation, and financial compliance, and partners with the Associate Director, Business Development on royalty strategy, partner reporting obligations, and contract matters. The Operations & Analytics Specialist brings both strong process discipline and analytical capability - building and maintaining reporting infrastructure while running the day-to-day operational workflows that keep royalty, contract, and data processes accurate, compliant, and continuously improving.

Requirements

  • Bachelor’s degree in business, business analytics, management information systems or related field.
  • Minimum of 3 years of related experience in data operations, financial administration, contract administration, or a comparable analytical and operations role.
  • Demonstrated experience managing royalty, financial, or compliance processes with a high degree of accuracy and accountability.
  • Proven proficiency building and maintaining reports and dashboards in Power BI and Salesforce, including experience designing for automation and optimization.
  • Experience administering contracts and maintaining contract records in a multi-partner environment.
  • Familiarity with payment platforms and financial reconciliation processes; experience with Hyper wallet or similar portals is an asset.
  • Experience using Crystal Reports is an asset.
  • Exceptional attention to detail and accuracy: able to manage high-volume, deadline-driven financial and data processes consistently and without error.
  • Strong analytical and problem-solving skills translates complex data requests into clear, well-structured outputs that inform business decisions.
  • Highly organized and self-directed: manages multiple concurrent workstreams independently with minimal supervision, consistently meeting competing deadlines.

  • Excellent verbal and written communication skills, with the ability to tailor messages clearly for diverse audiences including authors, finance, legal, and senior leadership.
  • Proven ability to build and maintain positive working relationships with a broad range of stakeholders including authors, partner contacts, colleagues, and finance and legal teams.
  • Advanced Microsoft Office skills, particularly Excel; strong working knowledge of database and reporting applications including Salesforce and Power BI, knowledge of R or Python is an asset.
  • Demonstrated ability to handle sensitive financial and contractual information with discretion and professionalism.

Responsibilities

  • Own the end-to-end royalty payment process for more than 1,250 authors and institutions: coordinate annual incentive and royalty payments, manage tax receipt distribution, and ensure all payments are processed accurately, on time, and in compliance with applicable Canadian and US obligations.
  • Administer the payment portal: manage author access, troubleshoot portal issues, and investigate and respond to all author inquiries regarding payout amounts with accuracy, professionalism, and timely resolution.
  • Maintain and update author and institution payout records with a consistent focus on accuracy, completeness, and compliance, ensuring records are always audit-ready.
  • Process routine and contractual royalty reports on monthly, quarterly, and annual cycles for distribution partners: pull usage data, verify invoices, initiate payments, and report accrual amounts to Ivey Finance accurately and on schedule.
  • Manage royalty accruals in close collaboration with Ivey Finance throughout the year, ensuring accrual balances are accurately maintained, and all year-end payment obligations are fully reconciled and documented.
  • Review and process incoming usage reports from distribution partners, ensuring data accuracy, creating corresponding orders and invoices, and verifying the accuracy of financial payments received.
  • Identify and investigate discrepancies in royalty data, partner usage reports, or payment records; escalate issues with clear documentation and recommended resolution to the Associate Director, Business Development.
  • Build, maintain, and continuously improve dashboards and reports in Power BI, Salesforce, and Excel, with an emphasis on automation, data integrity, and usability for business stakeholders across Ivey Publishing.
  • Produce recurring and ad hoc analytical reports on sales performance, product usage, royalty activity, and partner reporting obligations, ensuring outputs are accurate, clearly presented, and delivered on time to support business decisions and strategy.
  • Ensure data integrity across core systems including Salesforce and related databases through regular audits, controls, and proactive identification and resolution of data quality issues.
  • Identify opportunities for system or workflow improvements and recommend solutions that increase automation, reduce manual effort, and improve data reliability; coordinate with Business Systems and the Senior Salesforce Administrator to implement approved enhancements.
  • Translate business reporting needs into clear system requirements for Business Systems and BA support; participate in user acceptance testing and support change adoption for improvements affecting data and operations workflows.
  • Maintain thorough documentation for all recurring reports, dashboards, and data processes to ensure continuity, consistency, and ease of knowledge transfer.
  • Administer the full lifecycle of approximately 50 contracts per year across partner, supplier, distributor, and co-brand agreements: track key dates and deliverables, initiate renewal processes, manage approval workflows, and ensure all contracts are accurately recorded in relevant systems.
  • Maintain a well-organized library of contract templates, ensuring templates are current, legally compliant, and aligned with organizational standards; develop new templates as required in consultation with the Associate Director, Business Development, and external legal counsel.
  • Review contracts for accuracy and completeness prior to routing for legal review and approval; flag discrepancies, non-standard terms, or compliance risks to the Associate Director, Business Development with clear documentation.
  • Monitor active contracts for performance compliance including royalty obligations, reporting requirements, and payment terms; proactively flag issues or risks to the Associate Director, Business Development before they become material.
  • Initiate and coordinate necessary system changes related to contract renewals, amendments, or terminations, ensuring Salesforce and related records are updated accurately and promptly.
  • Support continuous improvement of contract administration workflows, identify opportunities to reduce manual effort, improve tracking, and strengthen compliance controls.
