About The Position

ZILO is establishing a regulated digital transfer agency service for tokenised funds. The service maintains the register and legal record of title for funds whose units are issued as tokens across the United States, Luxembourg, Ireland and the United Kingdom. The US registered entity is accountable to its regulator, and the role performs operational work and produces evidence in support of those obligations. This is the in-jurisdiction processing role for the US line, working in conjunction with analysts in ZILO’s centralised UK operations hub. The role works US hours, with a focus on the parts of the day the hub cannot cover. It is hands-on from day one. Initially, the fund serves institutional investors only and has a single daily NAV, so volumes are modest and the emphasis is on accuracy, evidence and exception handling. As a founding role, the successful candidate will help shape the service’s processes, controls and evidence standards. The role operates under applicable US transfer-agent recordkeeping and processing requirements, including maker-checker separation for dealing and register-affecting actions.

Requirements

  • Experience in transfer agency, fund administration or investment operations, including hands-on order processing and register maintenance.
  • Understanding of the end-to-end dealing cycle, including cut-off, NAV application, settlement and reconciliation, and the purpose of each step.
  • Reconciliation experience and the discipline to investigate rather than write off breaks.
  • Accuracy under daily deadlines and confidence to stop and escalate rather than process through an exception.
  • Comfort working in a distributed team across time zones, with clear handover discipline.
  • Clear written English sufficient to produce records that serve as regulatory evidence.
  • Eligibility to be fingerprinted and submitted for an FBI criminal history record check through an approved channeler under Rule 17f-2; this is a condition of appointment.

Nice To Haves

  • Exposure to digital assets, tokenised funds or wallet-based investor servicing.
  • Money market fund experience, including same-day dealing patterns and yield accrual.
  • Experience with institutional investor onboarding and KYC / KYB workflows.
  • Familiarity with transfer agency platforms such as Multifonds, GTAS or similar.

Responsibilities

  • Capture and validate subscription and redemption orders received through the distributing broker-dealer channel, checking completeness, investor eligibility and dealing cut-off.
  • Apply forward pricing after NAV is received and validated, and hold orders when pricing conditions are not met.
  • Prepare and submit mint and burn instructions when the order, payment attestation and NAV are present, following maker-checker controls at every step.
  • Manage escrow and intent lifecycles for orders pending confirmation, including deferred actions, retries and cut-off roll-forward.
  • Handle partial fills, child intents and batched dealing according to the documented process.
  • Process US institutional investor onboarding tasks, working with the identity and screening provider and verifiable credential issuance.
  • Maintain investor static data and the linkage between the on-chain record and off-chain book-entry layer.
  • Process transfers, exchanges and account maintenance requests, applying eligibility checks enforced at settlement.
  • Perform US-hours daily-cycle activities, including start-of-day readiness, queue and exception triage, end-of-day completeness and the daily control checklist.
  • Run and evidence the daily three-way reconciliation, investigate breaks and escalate anything other than a clean timing difference.
  • Reconcile mint and burn activity against instructed dealing and the register.
  • Maintain documented handovers with the UK operations hub at both ends of the US day, ensuring open items and their evidence are picked up by the other location.
  • Act as named cover for UK hub analysts on the US line and rely on them as named cover during planned and unplanned absences.
  • Preserve maker-checker separation during absences by routing the second check to the UK hub; escalate to the Head of Operations – US if cover cannot be arranged within the dealing window.
  • Produce and retain operational evidence supporting the control set and recordkeeping rules.
  • Promptly escalate exceptions, suspected errors and control concerns.
  • Identify and report pricing and dealing errors and produce the underlying data; materiality assessment and investor compensation decisions are made by the Head of Operations – US.

Benefits

  • Competitive base salary.
  • Comprehensive US benefits package including medical cover, a 401(k) plan, paid time off and US public holidays.
