About The Position

The Vaccines for Children (VFC) Program, as administered by the Immunization Section, has established a vaccine accountability system under the terms of the grant it receives from the Centers for Disease Control and Prevention. The vaccine accountability system is based on vaccine doses administered by providers compared to the vaccine doses distributed to them. The Operation Analyst I performs tasks related to processing VFC vaccine orders, training VFC provider personnel on the Florida SHOTS system, assisting with annual enrollment, communicating with providers about expiring vaccines, monitoring group emails for timely communication, working with providers to document storage temperatures, and reviewing temperature excursions.

Responsibilities

  • Processes VFC vaccine orders within approximately two-three business days from the time and day the VFC provider submits the order within the Florida HS.
  • Reviews the Order Request within the Florida 11S for doses administered since the provider's last Order Request.
  • Reviews the current on-hand inventory for every VFC lot within their total VFC Inventory.
  • Ensures the doses administered and current on-hand inventory for each vaccine lot reconciles with the received amount for that lot.
  • Ensures the number of replacement doses needed for each vaccine type provides the needed amount of vaccines that the specific provider requires until the next regularly scheduled order without significant overage.
  • During flu season, assist providers with pre-booking and approving flu orders.
  • Training VFC provider personnel on how to do the following in Florida SHOTS: Maintain their inventory through appropriate adjustments and transfers, Maintain their VFC site data to ensure timely receipt of vaccine shipments, Create VFC Storage Units with data logger calibration certificates within Florida SHOTS, Documenting temperatures for their VFC vaccine storage units within Florida SHOTS.
  • Assists the provider with Annual Enrollment and ensures the data related to personnel tied to each VFC provider office stays current as required by the CDC VFC guidelines.
  • Reviews and updates the VFC enrollee, primary coordinator, and back-up coordinator if needed for each provider as part of the annual enrollment process.
  • Reviews and updates the VFC enrollee, primary coordinator, and back-up coordinator as needed throughout each year as changes to personnel occur within the provider office.
  • Communicates with all VFC Providers regularly throughout the year regarding vaccine that will expire in the next 60-90 days.
  • Instructs providers on how to contact or find another VFC provider who can use the vaccine in the provider's geographical area.
  • Reviews the [email protected] group email throughout the day to ensure all VFC communication to providers is performed in a timely manner.
  • Works with providers to document daily storage unit temperatures within Florida SHOTS when providers have let this process lag or due to office turnover so that providers can maintain their ordering privileges.
  • Reviews temperature excursions for providers and communicates with the VFC government consultant supporting temperature monitoring and the providers to address the excursions.
  • Performs other duties as assigned.
