About The Position

This is an OPS (Other Personnel Services) position within the Department of Health, Division of Disability Determinations, located in Jacksonville, Florida. The primary responsibility is to perform support duties related to processing Social Security disability claims. The role requires good oral and written communication skills, with a preference for bilingual Spanish/English abilities. The incumbent will interact courteously with claimants, representatives, the public, and coworkers. This position may involve rotating receptionist duties, including greeting visitors, maintaining logs, and handling packages. The role also involves routing phone calls to the appropriate personnel, requiring knowledge of the division's structure and the disability case process, as well as the ability to use SSA and DDS software. The incumbent must be productive under tight deadlines, balance multiple priorities, and make independent decisions regarding record maintenance. Responsibilities include reviewing and routing unassociated mail, associating evidence with claims using SSA systems and DDS software, uploading MER from CDs, creating barcode pages, validating and scanning medical documents, and reviewing scanned documents for accuracy. Additionally, the role involves reviewing, sorting, and preparing batch overnight documents for distribution/mailing.

Requirements

  • Good oral and written communication skills.
  • Knowledge of the principles and techniques of effective communication.
  • Knowledge and ability to understand written and verbal communications in both English and Spanish.
  • Ability to translate both written and verbal information to and from English and Spanish.
  • Ability to identify errors or problems and notify appropriate staff.
  • Knowledge of and ability to operate general office automation equipment, i.e., personal computer, fax, copier, printer, scanner, etc.
  • Knowledge of scanning operations and electronic file set up.
  • Basic knowledge of the SSA Legacy system, MER generation, invoice processing, CE generation and scheduling.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Must be able to learn and communicate effectively, orally and in writing, in English.

Responsibilities

  • Perform support duties relating to the processing of Social Security disability claims.
  • Maintain a courteous demeanor when interacting with claimants, their representatives, general public, and coworkers.
  • Perform duties as a receptionist on a rotation basis, including greeting visitors, maintaining sign in/sign out logs, receiving packages and routing to appropriate destination.
  • Deal directly with claimants on the phone to ensure all incoming phone calls are correctly and timely routed to the appropriate examiner, supervisor, or other individual as needed.
  • Utilize SSA and DDS software to appropriately route calls to DDS staff.
  • Be productive under tight deadlines and balance multiple priorities.
  • Make independent decision–making responsibility regarding the maintenance and retention of records relating to the case control, medical evidence of record and consultative examination processes.
  • Review unassociated mail to determine appropriate destination.
  • Use SSA systems and DDS software to associate medical, functional, and/or vocational evidence with pending disability claims.
  • Upload documents once identified by case.
  • Upload MER from CDs and create barcode pages.
  • Validate evidence, scan medical documents, and review scanned documents for accuracy.
  • Review, sort and prepare batch overnight documents and prepare them for distribution/mailing.
  • Perform other duties as required.
