About The Position

This is an OPS (Other Personnel Services) position within the Department of Health, Division of Disability Determinations. The primary responsibility is to perform support duties related to the processing of Social Security disability claims. The role requires good oral and written communication skills, and preference will be given to applicants with bilingual Spanish/English abilities. The position involves receptionist duties on a rotation basis, including greeting visitors, maintaining sign-in/sign-out logs, and receiving packages. It also requires dealing directly with claimants via phone to ensure calls are routed appropriately, which necessitates a broad knowledge of the division's organizational structure and the disability case process. The incumbent must be productive under tight deadlines, balance multiple priorities, and exercise independent decision-making regarding record maintenance. Additionally, the role involves reviewing and processing unassociated mail, uploading medical evidence from CDs, creating barcode pages, validating and scanning medical documents, and reviewing scanned documents for accuracy. The position also includes preparing batch overnight documents for distribution/mailing.

Requirements

  • Good oral and written communication skills.
  • Knowledge of the principles and techniques of effective communication.
  • Knowledge and ability to understand written and verbal communications in both English and Spanish.
  • Ability to translate both written and verbal information to and from English and Spanish.
  • Ability to identify errors or problems and notify appropriate staff.
  • Knowledge of and ability to operate general office automation equipment, i.e., personal computer, fax, copier, printer, scanner, etc.
  • Knowledge of scanning operations and electronic file set up.
  • Basic knowledge of the SSA Legacy system, MER generation, invoice processing, CE generation and scheduling.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Must be productive under tight deadlines.
  • Must be able to balance multiple priorities.
  • Requires a security background check.
  • Requires participation in direct deposit.
  • Successful completion of the SSA suitability process.
  • Successful completion of a drug test is a condition of employment for safety-sensitive positions.

Responsibilities

  • Perform support duties relating to the processing of Social Security disability claims.
  • Maintain a courteous demeanor when interacting with claimants, their representatives, general public, and coworkers.
  • Perform duties as a receptionist on a rotation basis, including greeting visitors, maintaining sign in/sign out logs, and receiving packages.
  • Deal directly with claimants on the phone to ensure all incoming phone calls are correctly and timely routed to the appropriate examiner, supervisor, or other individual as needed.
  • Be productive under tight deadlines and balance multiple priorities.
  • Exercise independent decision-making responsibility regarding the maintenance and retention of records relating to the case control, medical evidence of record and consultative examination processes.
  • Review unassociated mail to determine appropriate destination.
  • Associate medical, functional, and/or vocational evidence with pending disability claims using SSA systems and DDS software.
  • Upload MER from CDs and create barcode pages.
  • Validate evidence, scan medical documents, and review scanned documents for accuracy.
  • Review, sort, and prepare batch overnight documents for distribution/mailing.
