About The Position

enhanceHCM is looking for a highly organized, detail-oriented and self-motivated Operations Specialist to join our growing team. This role will play a key part in supporting new hire onboarding, compliance, client billing and general administrative assistance. We're looking for someone who can quickly learn our workflows and grow into a broader operational role over time. This is an excellent opportunity for someone early in their HR/billing/operations career who is eager to build a long-term path within a supportive, fast-paced environment. This position is expected to average 20–25 hours per week initially, with a flexible work schedule. As the role and responsibilities grow, there is potential to transition into a full-time position, at which time the employee will be eligible for the company’s competitive benefits package.

Requirements

  • Discretion when handling confidential employee and client information
  • A growth mindset and genuine interest in building a career in operations (including payroll and billing)
  • Ability to work on-site in Manhattan Beach, CA

Nice To Haves

  • Prior experience in HR, payroll, staffing, or administrative support
  • Proficient in Excel and the Microsoft Office Suite
  • Familiarity with HRIS, ATS/CRM and Payroll platforms a plus
  • Associate's or Bachelor's degree, or equivalent practical experience

Responsibilities

  • Maintain accurate employee, placement, and operational records across applicable systems
  • Support new hire onboarding, including document collection, data entry, and compliance verification
  • Process client billing accurately and on schedule
  • Respond to routine employee, consultant inquiries and troubleshoot timecard issues, including discrepancies, rejected timecards and approval routing changes and proactively follow up on outstanding information or approvals
  • Learn and eventually take full ownership of the placement process within our internal system
  • Cross-train in payroll processing, with the goal of independently handling payroll tasks over time
  • Identify gaps or inefficiencies in workflows and communicate them proactively
  • Take on increasing ownership of processes as skills and confidence develop
  • Assist with general office responsibilities, including managing supplies, coordinating mail and deliveries, and supporting day-to-day office operations as needed
  • Partner closely with the Director of Operations to ensure accuracy and timeliness across all administrative functions
