About The Position

Killam Apartment REIT, based in Halifax, Nova Scotia, is one of Canada's largest residential real estate investment trusts, owning, operating, and developing a $5.5 billion portfolio of apartments and manufactured home communities. Killam's strategy to drive value and profitability focuses on three priorities: (1) increase earnings from the existing portfolio; (2) expand the portfolio and diversify geographically through accretive acquisitions, targeting newer properties and dispositions of non-core assets; and (3) develop high-quality properties in its core markets. We are currently searching for an experienced, professional and customer-focused Operations Administrator to support our Operations team in Saint John, NB and Fredericton, NB. This role is based at our office in Fredericton, NB where you will be supporting our operations team in Saint John, NB and our regional maintenance manager with various administrative duties.

Requirements

  • Must have strong administrative training and background, with over 2 years’ experience
  • Must have excellent knowledge of Microsoft office tools, and a high level of Excel competency
  • Excellent communication skills, with the ability to work independently and/or as part of a team
  • Ability to work in a fast-paced, multi-tasking environment
  • Keen focus on internal and external client satisfaction and process improvement

Nice To Haves

  • Prior property management experience would be an asset
  • Knowledge of Yardi would be an asset or similar capital processing system

Responsibilities

  • Respond to and redirect maintenance calls
  • Create and manage purchase orders, change orders, and PPE orders
  • Monitor work orders, CAPEX requests, and invoicing
  • Track vehicle servicing, fleet management, and elevator management
  • Process staff mileage submissions and BMO spend coding
  • Assist with insurance claims and contract pricing follow-up
  • Schedule meetings and interviews; prepare agendas and take meeting minutes
  • Develop and maintain spreadsheets, performance tracking tools, and training presentations
  • Collect and analyze data to support staffing business cases
  • Monitor stockroom inventory and real-time tracking data
  • Provide onboarding and training support, including occasional travel
  • Support operational administration across regions
  • Prepare administrative reports and perform other related duties as required
