About The Position

Systems Technology & Research, Inc. (STaR) is seeking an Operations/Administrative Support Analyst in the Huntsville, AL area supporting Army Aviation. Candidate will use knowledge of Army organizations and the work of the Uncrewed Aircraft Systems (UAS) Project Office and the Technical Management Division (TMD) specifically to assign, track, and close all taskers assigned to TMD. Candidate will track programmatic schedules and maintain artifacts to ensure TMD and UAS leadership are aware of milestones. Candidate will create briefings and other products (documents, SOPs, briefings, communications) for internal TMD operations. Candidate will provide high-level, confidential administrative support. Duties will be clerical, administrative, office management, schedule travel, prepare reports and correspondence and liaising with other senior level Military and Civil Service members. This position requires a high level of professionalism, discretion, and diplomacy. Candidate must possess proven skill sets required to coordinate the activities of an executive office and be a self-starter that can perform multiple tasks simultaneously. Candidate will perform a wide range of administrative and front office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.

Requirements

  • Must have a Bachelors degree and four (4) years of experience in administrative support, business operations support, staff coordination, or related role.
  • Experience preparing and managing correspondence in accordance with Army Regulation (AR) 25-50 operations and staff processes.
  • Experience utilizing Defense Travel Service (DTS) to coordinate and process government travel.
  • Familiarity with Enterprise Task Management Software Solutions (ETMS2) for task management and document tracking.
  • Proficiency in Microsoft Office Word, Excel, PowerPoint, Teams, SharePoint, and Outlook.
  • Strong written and verbal communication skills; ability to interact professionally with both government and contractor personnel.
  • Must be a U.S. Citizen with an active DoD security clearance or the ability to obtain.

  • Previous experience in a government project office is preferred but not required.

Responsibilities

  • Create and maintain TMD meeting charts, briefing packets, and similar work products
  • Track, assign, and manage TMD taskers and related workflows
  • Provide coordination and oversight of TMD briefings and end products to ensure consistent message, format, and content
  • Represent TMD stakeholders in acquisition operations coordination and execution
  • Create and track TMD metrics via dashboards, charts and other appropriate formats for internal and external use
  • Answer incoming calls, screen, determine purpose of call, and transfer call
  • Receive and direct visitors
  • Monitor visitor access
  • Maintain and organize Executive's calendar to ensure that she/he is prepared for any meetings
  • Maintain front desk procedures including contact information, directions and frequently requested information
  • Process queries and direct to appropriate office
  • Maintain electronic and hard copy filing system
  • Prepare written correspondence in accordance with the AR 25-50
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Schedule and coordinate meetings and appointments
  • Prepare travel arrangements in the Defense Travel System (DTS), making travel, lodging, and rental car bookings
  • Record, compile, transcribe and distribute minutes of meetings
  • Maintain office supply inventories
  • Coordinate maintenance of office equipment
  • Interpret and disseminate Government leadership guidance on program planning, execution, and evaluation to subordinate organizations.
  • Prepare or edit directives, issuances, memoranda, policy statements, taskings, and other written guidelines.
  • Review documents for omissions and inconsistencies and ensure data is complete and accurate.
  • Effectively communicate important and pressing matters to Government leadership and execute directed resolutions.
  • Coordinate facilities and resources to conduct briefings or other collaboration activities (e.g. conference facilities, teleconference, video teleconference, digital presentation, room preparation, etc.).
  • Coordinate, set up, and execute off-site/team building activities and agency social events.
  • Other duties as assigned.
