Requirements

  • Executive Assistant With 5 or More Years of Documentable Experience
  • Someone >23 years old.
  • Someone outgoing, confident, and extremely organized.
  • An exceptional communicator, in all forms.
  • A multi-tasker with great attention to detail.
  • High School diploma or equivalent.
  • Advanced computer & software skills.
  • Valid driver's license and a clean driving record.
  • The desire and ability to learn about the sign business and a related process.
  • Professionalism.
  • The desire to be a master at your craft.
  • Ability to pass pre-employment drug, background, and MVR checks.

Responsibilities

  • Ensure a positive & profitable customer experience, form bidding to billing, by: Ensuring all phone calls and emails are answered timely and professionally. Leading up-selling activities on the phone and in the office. From inquiry to final invoice, ensuring customer needs are met in a timely & professional manner. Over-communicate, keep our clients up to date, and always illustrate gratitude for their business. Manage client & sub-contractor relationships to extend our revenue and reach, while protecting against business risk. Ensuring the accuracy of information both in and out of ERP software systems.
  • Ensure timely and accurate work order flow while keeping customers apprised of dynamic schedules.
  • Invoicing completed work orders quickly and maximizing profit by correct application of applicable service charges.
  • Helping ensure accurate payroll tracking and costing.
  • Helping with the resolution and collection of late receivables.
  • Interfacing with state regulatory agencies to maintain certifications & licenses, for both our organization, and that of our clients.
  • Create and maintain a culture of continuous improvement by: Leading &/or participating in special projects for company executives. Helping create & review Key Performance Indicators (KPI's), turning metrics into necessary actions to improve the business. Maintaining dashboards and other business intelligence tool for accuracy. Preparing special reports upon request. Maintaining accurate paper and electronic records. Be a subject matter expert (SME) on Service software systems, finding ways to make our processes more efficient.
