About The Position

The Operations Clerk provides administrative and operational support in a fast-paced, high-volume environment. This position is responsible for processing incoming and outgoing correspondence, scanning and entering documentation into policy administration systems, preparing premium payments for processing, and supporting daily mailroom and document management functions. The ideal candidate is highly organized, dependable, detail-oriented, and comfortable managing multiple priorities while meeting established production and turnaround expectations.

Requirements

  • High school diploma or GED required.
  • Minimum of two years of clerical, administrative, or support experience.
  • Basic knowledge of property insurance and underwriting processes.
  • Proficiency with basic computer applications, including Microsoft Office.
  • Working knowledge of Microsoft Word and Excel.
  • Familiarity with Windows-based computer systems.
  • Experience working with automated or paperless systems.
  • Strong clerical and administrative skills.
  • Strong organizational, time management, and prioritization abilities.
  • Ability to work effectively in a fast-paced environment with changing priorities.
  • Strong attention to detail and ability to identify and correct data entry errors.
  • Ability to recognize discrepancies or deviations from established procedures and take appropriate action.
  • Strong problem-solving skills and ability to work independently.
  • Dependable with the ability to maintain consistent and reliable attendance.
  • U.S. Citizen, GC Holders, or Authorized to Work in the U.S.

Responsibilities

  • Receive, sort, open, and process incoming mail and correspondence.
  • Scan policy correspondence, payments, claims documentation, and other incoming materials.
  • Enter data and create activities within policy administration systems.
  • Prepare premium payments for processing, including dating payment coupons, scanning documents, batching checks, and running batch tapes.
  • Review and route incoming faxes and emails to the appropriate departments or resources.
  • Prepare and scan incoming claims-related correspondence.
  • Prepare historical policy documents for back scanning and complete document imaging as needed.
  • Process returned correspondence and ensure materials are appropriately routed.
  • Support daily workflows based on volume and established departmental production metrics.
  • Provide internal customer service related to mailroom and parcel services.
  • Process and sort incoming and outgoing mail and packages, including USPS, UPS, overnight deliveries, other carriers, and outside vendors.
  • Complete internal mail pickup and delivery.
  • Perform additional administrative and operational duties as assigned.
