About The Position

This position is responsible for managing the Main Operating Room surgical schedules, including block time utilization, case coordination, and communication with surgical services, anesthesia, and perioperative leadership to ensure efficient OR operations. The role involves receiving surgical requests, validating information, and scheduling surgeries accurately in computer systems. The scheduler will also be responsible for developing daily schedules, advanced schedules, and templates, and managing the release of OR block time. Maintaining accurate documentation of schedule-related activities and updating procedural lists are key aspects of this role. This position is performed onsite at Naval Medical Center San Diego (NMCSD).

Requirements

  • Experience in medical or surgical scheduling (operating room scheduling preferred).
  • Proficiency with scheduling software (MHS Genesis) and Microsoft Office applications.
  • Strong organizational and communication skills.
  • Knowledge of medical terminology.
  • High School diploma or General Educational Development (GED) equivalency.
  • Basic medical terminology required.
  • Must be a U.S. citizen (no foreign passport holders).
  • Must be able to pass a Tier 3 background investigation and a Childcare Background Check (CBC), including fingerprint cards for each state of residence.
  • Must complete a health examination and immunization screening on the required DHA Contracted Health Care Worker form prior to performance.

Responsibilities

  • Managing Main Operating Room surgical schedules, block time utilization, case coordination, and communication with surgical services, anesthesia, and perioperative leadership to support efficient OR operations.
  • Receiving surgical requests, validating submitted information, and scheduling surgery to completion.
  • Entering data into S3 or other computer scheduling systems without error (typographical, spelling, or missing fields).
  • Notifying the OR Operations Officer or service team chief when special equipment, machines, or grafts are requested.
  • Developing Daily Schedules, Advanced Schedules, and Templates, and printing the next day's preliminary schedule by 0800 for review and approval by the OR Operations Officer.
  • Tracking and releasing OR block time seven (7) calendar days prior to the OR date.
  • Maintaining accurate and complete documentation of schedule-related OR activity, including tracking and reporting to the element chief or OR designee.
  • Importing data into Essentris.
  • Reviewing procedural lists and codes, conferring with coders to maintain currency, and updating lists at least quarterly.
