About The Position

Under the direction of the Director of Perioperative Services, the Perioperative Operating Room (OR) Scheduler will perform a variety of tasks across CCH in Perioperative Services, which requires discretion and independent judgement in collaboration with all Surgical Services, Nursing, Anesthesia, and Revenue cycle. The Perioperative OR Scheduler may act as a lead worker and perform all duties in a confidential manner.

Requirements

  • High school diploma or G.E.D certificate is required
  • Two (2) years of experience using an electronic health record and running multiple programs is required
  • Two (2) years of experience working with coding software for surgical procedure orders is required
  • Two (2) years of experience working with Cerner, SurgiNet, eCare, and Electronic Document Management is required
  • Three (3) years of experience working with surgical, nursing, and anesthesia teams and scheduling OR procedures is required

Nice To Haves

  • Associate’s degree or higher from an accredited college or university in relevant healthcare field is preferred

Responsibilities

  • Serves as a main resource to physicians for Operating Room (OR) scheduling
  • Maintains surgical queue daily
  • Cancels and reschedules cases from the surgery scheduling queue
  • Participates with Perioperative Services director and revenue cycle in weekly meetings
  • Files daily surgical schedules
  • Works with Prior Authorization, Finance, and Revenue Cycle to obtain authorization for the patients from the insurance company and/or hospital
  • Attends daily OR scheduling huddles with Perioperative leadership as required
  • Maintains surgeons block schedules for all surgical and robotic cases
  • Answers phone calls, emails, and Tiger connect to confirm surgical cases in a timely manner
  • Works with Anesthesia to ensure that OR and Anesthesia have adequate staff to fulfill the needs of the surgical schedule
  • Interacts with surgeons and staff to provide timely accurate surgical information
  • Ensures customer focused and efficient phone communication with surgeons, residents, Anesthesia, Nursing leadership, and ancillary departments
  • Assists with scheduling and checking in Cath lab patients when needed
  • Follows all written protocols and procedures of OR schedule
  • Recognizes and responds appropriately to emergent and urgent situations and protocols regarding the surgical schedule
  • Identifies scheduling barriers and implements solutions to improve scheduling results based on pre-determined goals
  • Adheres to policies regarding safety, and HIPAA guidelines
  • Schedules patients for present and future surgeries in the electronic system per surgeon block
  • Works with OR control desk to ensure patient has correct encounter on day of procedure
  • Ensures accuracy of encounter documentation by surgeon
  • Checks the Pre-Procedural Testing (PPT) clerk tab in SurgiNet to ensure accuracy of surgeon to surgical service
  • Ensures accuracy of surgical case trays and Current Procedural Terminology (CPT) codes
  • Runs/checks patients’ insurance for accuracy
  • Ability to remove patients from schedule if financial process has not been completed and places in a holding queue
  • Sends auto-notification to surgeons via EMR, email, and Tiger connect
  • Performs other duties as assigned
