About The Position

The Open Access & Administrative Manager, Cape Offices is responsible for overall administrative and operational management of services at the Hyannis and Harwich offices. This role oversees the agency’s Outreach Service, Open Access, related to workflow, front office functions, care navigation services and general office operations to ensure efficiency and consistency of operations and services. This role is the primary administrative point of contact for internal departments and community partners and supervises Open Access and front office staff. Requirements

  • Bachelor’s degree with at least 2 years’ experience in a mental health or medical office setting.
  • At least 3 years of supervisory experience to effectively assist and guide staff in supportive, timely and efficient decisions.
  • Comparable experience in a behavioral health setting will be considered as a substitute for supervisory experience.
  • Demonstrated experience utilizing problem solving and communication skills both verbally and in writing.
  • Ability to build and maintain rapport with staff and community partners to provide meaningful outcomes.
  • Awareness of personal attitudes, beliefs, biases, and assumptions about others
  • Knowledge of the various dimensions of diversity, including gender, race, and ethnicity
  • Acknowledging that people from other cultural groups may not share the same beliefs and practices or perceive experiences in the same way

  • Must have a valid driver’s license and reliable transportation that meets CFS Driver Policy.

Responsibilities

  • Manages day to day staff operations including timecard and scheduling approvals, hiring, onboarding, training, coaching and performance management.
  • Facilitate individual supervision and team meetings focused on performance and workflow in a professional, supportive and accountable workplace culture.
  • Ensures adherence to agency policies, Open Access requirements, documentation standards and office procedures
  • Collaborate with the Clinic Operations Director on staffing plans, operational improvements and quality initiatives.
  • Monitor and improve office systems related to scheduling, intake flow, client tracking and communication.
  • Oversee office supply purchasing and invoice review to support operational needs.
  • Perform Open Access functions to support office operations and continuity to include some evening hours and one Saturday morning per month.
  • Manage staff schedules, provider schedules, office coverage and contingency staffing plans.
  • Ensure accurate maintenance of scheduling, demographic and billing related information.
  • Support coordination between front office, care navigation, providers and internal departments.
  • Ensure compliant documentation and recordkeeping in accordance with agency, funder and accreditation requirements.
  • Support quality improvement efforts related to access, timeliness and administrative accuracy.
  • Serve as a liaison between the Hyannis office, Harwich office and internal departments including billing, psychiatry, clinical teams and 24 hour programs.
  • Represent the Hyannis office at community meetings, networking events, and outreach activities.
  • Travel is required to provide services in different settings and to attend agency meetings, events, and trainings
