We are seeking a highly organized and detail-oriented Onboarding Coordinator to join our team. This role is essential in delivering a seamless and positive onboarding experience for all new hires across our organization. Requirements

  • Undergraduate degree in a related field
  • 1-2 years of experience in HR, administration, office management, operations or a similar onboarding-focused role
  • Strong organizational and time management skills with exceptional attention to detail
  • Excellent communication and interpersonal skills
  • Proactive, self-starter with the ability to manage multiple priorities
  • Positive attitude and a strong sense of ownership

Nice To Haves

  • Familiarity with HR systems and onboarding tools is considered an asset

Responsibilities

  • Manage and execute onboarding processes for all new hires across multiple offices
  • Prepare and maintain onboarding checklists to ensure a consistent and seamless experience
  • Coordinate with IT to set up and troubleshoot all required technology, including laptops, mobile devices and system access
  • Set up user accounts across platforms including Microsoft (Outlook, Teams), BambooHR, SAP, Yardi, Maintenance IQ and VersaCheck
  • Prepare workstations, including desk setup, phones and welcome packages for new hires
  • Coordinate building access, including key cards and security passes
  • Partner with hiring managers to ensure any role-specific onboarding requirements are fulfilled
  • Coordinate onboarding logistics across various office locations, ensuring readiness and consistency
  • Maintain inventory of onboarding supplies, including laptops, phones, keyboards and other equipment
  • Arrange shipping of equipment and materials to remote employees or other office locations as needed
  • Order business cards and other onboarding materials for new hires
  • Coordinate first-day logistics such as team lunches or welcome arrangements where applicable
  • Support offboarding logistics, including equipment retrieval and system access coordination
  • Ensure all offices are stocked with necessary onboarding materials and supplies
