About The Position

Join HGL’s growing team in California as a On-site Operations Manager (Project Administrator IV). The successful candidate plays a crucial role in supporting the Project Manager by tracking financials, managing administrative tasks, and providing contracts support. This full-time, on-site position supports a multi-year environmental investigation, restoration, and long-term management project at NASA’s Ames Research Center. The On-site Operations Manager serves as a key point of contact amongst project personnel and HGL’s business operations teams in contracts and finance ensuring smooth operations and compliance with contractual obligations. The ideal candidate is detail oriented, organized, and collaborative and thrives in a dynamic, client-focused environment.

Requirements

  • Minimum of 10 years of experience in project administration, program support, or a related field.
  • Proficiency in Microsoft Office Suite, including Basic Word, Microsoft Project, and Intermediate Excel.
  • Experience with software tools that support accounting, project tracking, and procurement.
  • Strong problem-solving, communication, and multi-tasking skills.
  • Ability to work across multiple teams and departments, serving as a key liaison between program managers, project managers, accounting, payroll, and contracts.

Nice To Haves

  • Associate’s degree in business administration or a related field.
  • Ongoing training or certifications in administrative software programs such as Microsoft Office.
  • Experience with software such as Deltek Costpoint and Workday.
  • Experience working with government contracts, financial tracking, and invoice management.
  • Familiarity with proposal work and business development processes.
  • Experience working for NASA or other federal government clients.

Responsibilities

  • Work closely with project manager, contracts team, and administrative staff to ensure strong communication with management team.
  • Work with project manager to set up task orders in the system.
  • Manage project SharePoint site with all project-related documentation.
  • Manage the monthly reporting process, including reviewing invoices, formatting project reports, and submitting them to the client.
  • Prepare, update, and track financial forecasts.
  • Review and process vendor and subcontractor invoices.
  • Support cost estimates and modification requests as appropriate.
  • Work with contracts department to procure materials and services.
  • Track all project-related Government Furnished Equipment (GFE).
  • Support and coordinate employee badging and staff training requirements.
  • Prepare various reports based on project operations and contract management.
  • Take meeting notes and track action items.
  • Identify and escalate issues to the project manager as needed.
  • Communicate with vendors and teaming partners as needed.
  • Assist the team with ad hoc administrative tasks.
