About The Position

The City of Everett is seeking applicants for the Office Technician position, which is part of the Civil Service examination process. The current opening is within the Park and Facilities Department. This role is crucial for providing administrative and customer service support to the Parks Department, acting as the primary point of contact for department services and facilities. The Office Technician will handle a high volume of inquiries, process rental applications, collect payments, prepare permits, and maintain records. The position also supports daily office operations through data entry, records management, scheduling, and coordination with internal and external partners. This role requires performing varied and responsible office support work, often with infrequent supervision, and involves the use of computers and various software programs. Individuals in this class may also monitor or train less experienced employees. The work is reviewed for thoroughness, accuracy, timeliness, and compliance with regulations, policies, and procedures, requiring individuals to maintain high-quality standards.

Requirements

  • Successful completion of course work or training in modern office principles and practices which include formal computer training
  • At least two years general office support experience which included public contact and required utilization of computers
  • Any equivalent combination which provides the required knowledge, skills and abilities.

Responsibilities

  • Provides administrative and customer service support for the Parks Department, serving as the primary public contact for department services and facilities.
  • Responds to a high volume of inquiries from residents, community organizations, and stakeholders, addressing concerns, resolving complaints, providing information, and coordinating with department staff.
  • Processes facility and park rental applications, collects and reconciles payments, prepares permits and supporting documentation for special use requests, and maintains records.
  • Supports daily office operations through data entry, records management, scheduling, correspondence, and coordination with internal departments and external partners.
  • Performs varied responsible office support work of above average difficulty, requiring the operation of computers and utilization of various software programs.
  • Prepares and maintains spreadsheets and similar computer support activities.
  • Performs tasks that may require considerable liaison with other employees, departments, agencies, and the general public.
  • May monitor or train less experienced individuals or employees assigned to a lower classification.
  • May check in-progress and completed work for accuracy.
  • Processes transactions involving several steps such as review of documents, determination of procedural compliance, computation or verification of data, fees or payment.
  • Compiles, completes, and maintains recurrent technical, statistical, and financial reports and records.
  • Plans, organizes, and maintains subject matter files which include the classifying, cross-referencing, and indexing of specialized technical subject matter.
  • Maintains various manual or computerized records and files to assure the status of projects/programs are communicated to all concerned parties.
  • Prepares records and documents for filing, archiving or microfilming.
  • Resolves procedural questions and complaints from the public, other agencies, and City personnel.
  • Explains programs, activities, policies, and procedures within scope of authority and provides information of a limited or technical nature.
  • Schedules facilities, events, and staff utilizing appropriate methods according to different work environments or specialty areas.
  • Performs receptionist duties such as receiving calls, greeting visitors, providing information and assistance by routing calls, taking messages, and responding to routine inquiries.
  • Operates standard office equipment and machinery such as typewriters, calculators, fax machines, copiers, Dictaphones, telephones, multi-line phone systems and copiers.
  • Operates numerous software programs with proficiency, including word processing, data management, and spreadsheet applications.
  • May organize, assign, or monitor the work of less experienced or lower classification employees.
  • May check in progress or completed work for accuracy or resolve routine operational problems.
  • Performs other related duties as required.
